About The Position

The Program Clerk will serve as a positive role model and program ambassador, promoting the program within the district, school, and community. This role supports the Program Manager in maintaining program records, managing front desk operations, and ensuring participant safety. The Program Clerk provides quality customer service to children, parents, CFISD staff, and community members, and adheres to all program standards and procedures.

Requirements

  • High school diploma or GED required.
  • Clerical and/or customer service experience required.
  • Basic computer skills required.
  • Strong organizational and interpersonal skills.
  • Ability to learn and utilize new software systems.
  • Communicate in both verbal and written forms with staff, children and parents of the program.
  • Must be able to handle multiple tasks and follow directives.
  • Speak, read and understand the English Language.
  • Apply common sense, understanding, and sound judgement to carry out essential functions.
  • Regular and reliable attendance is an essential job function.

Responsibilities

  • Serve as a positive role model.
  • Serve as a program ambassador to promote the program within the district, school, and community.
  • Support the Program Manager with maintaining and ensuring proper completion of required program records including, but not limited to, sign-in/out procedures, attendance records, employee timesheets, and incident reports.
  • Maintain positive, professional, and regular communication with children, parents, CFISD staff members, and community members.
  • Maintain positive relationships and interactions with children, parents, CFISD staff members, and community members, including establishing and facilitating a positive and welcoming environment.
  • Provide quality customer service to children, parents, CFISD staff members, and community members.
  • Adhere to all program standards, procedures, and expectations outlined in district and program handbooks and staff development training.
  • Maintain a clean and orderly environment, including shared office space.
  • Manage front desk operations of before and after-school program including the answering of phone calls, emails, in-person inquiries, and providing clerical support for the program.
  • Prepare and distribute communication to participants and families.
  • Review, submit, and audit attendance records for before and after-school program.
  • Assist in the preparation, submission, and retention of needed documentation as directed by Community Programs.
  • Ensure the safety of all participants by managing the entrance of the campus, verifying photo identification of those persons picking up children, acknowledging all visitors, and conducting frequent headcounts.
  • Attend required trainings and meetings scheduled by Community Programs.
  • Accept constructive feedback and reflect on job performance.
  • Perform any and all other duties deemed necessary by your direct Supervisor or Coordinator, the Assistant Directors of Community Programs, the Director of Community Programs and/or the Assistant Superintendent for Communication and Community Relations.
