About The Position

The Program Assistant will provide clerical and administrative support functions, to support the effective day-to-day operations of Centre sites within an interdisciplinary family-centered environment. Responsibilities include: reception, preparing client files; data inputting; photocopying; meeting coordination; filing and routine office administration procedures.

Requirements

  • Post secondary education in business administration or other related field
  • Related work experience within the past 2 years in a pediatric/health care setting
  • Computer literate and demonstrated proficiency with a variety of software programs including (Microsoft Word, Excel, Access, Power Point) and ability to conduct research via the internet
  • Strong organizational skills, ability to work independently and in a professional manner respecting client confidentiality and program integrity.
  • Good judgement, time management and priority setting abilities
  • Demonstrates excellent customer service abilities while welcoming visitors to the facility
  • Excellent interpersonal and organizational skills/Excellent oral and written communication skills
  • Valid Ontario driver’s license and reliable vehicle
  • Proof of COVID Vaccinations as required by the sector

  • Bilingualism (French/English) is preferred

Responsibilities

  • Provides office reception.
  • Prepares correspondence and communications.
  • Coordinates internal/external meetings as required.
  • Prepares materials for internal/external meetings as required.
  • Receives referrals for services and completes the required intake information.
  • Prepares client files, ensures accuracy of child/youth/family’s contact data, photocopies and distributes documents to ensure adequate information sharing and maintains client confidentiality and privacy.
  • Files agency reports, documents and client files as per agency policies and procedures.
  • Enters data for statistical purposes (i.e. Electronic Medical Record)
  • Conducts routine office support procedures (i.e. routing mail, processing the purchasing of supplies, scheduling clinical appointments, booking meeting rooms, etc.)
  • Participates in the orientation and training of new staff members, placement students and /or volunteers.
  • Pursues on-going professional development and growth.
  • Other duties as assigned.
