Under the direction of the Vice President Programs, the Program Assistant is responsible for working directly with the VP of Programs to process administrative needs for the department including but not limited to purchase requests, scheduling meetings, appointments, and events, as well as assisting staff with training provider invoicing by working closely with subcontractors & staff to ensure accurate submission of invoices and collecting all required back-up documentation. The Programs Assistant will work closely in collaboration with the Finance & Operations departments and the Programs Directors to ensure timely invoicing, data entry, accurate record keeping and tracking of expenditures.

Requirements

  • Associate degree in office administration or related field.
  • One to two (1-2) years’ office administration experience.
  • Experience in workforce development.
  • Excellent verbal and written communication skills.
  • Acute attention to detail, commitment to excellence and high standards.
  • Computer proficiency, particularly with the Microsoft Office suite, including Outlook, Word, Excel and PowerPoint.

Nice To Haves

  • Bachelor’s degree in business administration or related field.
  • Knowledge of Workforce Innovation and Opportunity Act (WIOA).
  • Salesforce experience.
  • An empathetic, person-centered approach to case management.

Responsibilities

  • Direct assistance to the VP of Programs, preparing board meeting documents, scheduling and maintaining and internal communications.
  • Keep accurate written records, data entry, and files that are necessary to meet program requirements.
  • Closely review invoices and records for accuracy.
  • Track expenditures and maintain a record of all submissions.
  • Follow internal policies and procedures, as outlined in SDWP Operations Manual.
  • Coordinate with department in for staff meetings, trainings, and collaborative functions.
  • Entrusted responsibility of prioritizing and safeguarding the best interests and assets of the organization, its reputation, and its integrity.
  • Effectively collaborate with internal departments including Finance, Operations, Client Services, and all Programs Department to efficiently and timely process service agreements, board documents, invoices, and vendor payments.
  • Track participant progress in Cal E-Grant, CalJOBS, and/or Salesforce databases.
  • Effectively receive feedback and demonstrate continuous improvement and development of personal performance.
  • Perform other related duties as assigned.
