About The Position

This position provides administrative, logistical, and programmatic support to the Office of Public Policy and Advocacy. The Program Assistant will support the Director/Team Leader in overall administration and offer hospitality and logistical support to groups visiting Washington D.C. for education and advocacy. This role involves supporting the mission and goals of the United Church of Christ (UCC) across all programs and ministries. Key responsibilities include managing office communications, maintaining calendars, assisting with visitor arrangements, monitoring budgets, and ensuring the office space and systems are well-maintained. The position also entails developing new digital systems, organizing files, making travel arrangements, and handling correspondence. The Program Assistant is expected to uphold the policies of the UCC and conduct themselves in a manner that reflects positively on the organization, while also prioritizing self-care and supporting others.

Requirements

  • High School Diploma or equivalent
  • A minimum of 3-5 years of administrative experience
  • Knowledge of standard office procedures
  • Proven ability to manage multiple projects simultaneously
  • Excellent written and verbal communication skills
  • Self-starter with the ability to prioritize work, manage multiple tasks, and perform tasks with minimum supervision
  • Ability to edit materials; proof-reading skills
  • Strong commitment to professionalism and ability to maintain confidentiality
  • Desire and sensitivity to work in diverse racial, ethnic, cultural, and religious settings with commitment to pluralism in the workplace as well as in one’s understanding of mission
  • Demonstrated ability to work collaboratively and collegially as well as independently
  • High degree of computer competence required, including knowledge of MS Office 365

Nice To Haves

  • A college degree or equivalent experience is preferred, or a combination of academic study and experience
  • Familiarity with Concur, Blackbaud, and Sharepoint preferred
  • Knowledge of the UCC and its polity and structure is preferred

Responsibilities

  • Support the mission and goals of the United Church of Christ across all programs and ministries.
  • Welcome visitors and answer office inquiries over the phone, by mail, or by email; provide general information regarding the work of the office.
  • Maintain calendar of meetings, activities and engagements of Washington Office.
  • Assist with scheduling, relationship building, and arrangements for visiting groups and individuals.
  • Assist in the monitoring of the budget and expenditures, and process payment for the office.
  • Assist Office Director/Team Leader in maintaining physical office space, equipment, and systems.
  • Develop new digital systems and procedures alongside office staff to ease work.
  • Keep office files and archives updated, well organized, and accessible.
  • Make travel and housing arrangements as necessary.
  • Open, read, sort and answer correspondence not requiring the direct attention of the Washington Office Director.
  • Other duties as assigned.
