About The Position

Northeast Career Planning, a division of Unity House of Troy, is seeking a Program Assistant to provide vital clerical and program support. This role is perfect for someone who enjoys working with a variety of people, has strong organizational skills, and takes pride in helping operations run smoothly. Unity House is a Rensselaer County-based human service agency that provides a wide range of services to meet the otherwise unmet needs of people in our community who are hurting and struggling. We assist those who are living in poverty, adults living with mental illness or HIV/AIDS, victims of domestic violence, and children with developmental delays. We work to achieve social justice in our community and to create a better understanding of those we serve.

Requirements

  • High school diploma required
  • 1–2 years of administrative experience, preferably in employment or human services.
  • Valid NYS driver’s license.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office Suite and document scanning software.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills.

Nice To Haves

  • Associate degree preferred.
  • Experience with Electronic Health Record (EHR) systems preferred.

Responsibilities

  • Welcome visitors and program participants, maintain sign-in sheets, and manage visitor flow.
  • Answer and direct incoming calls with professionalism, accuracy, and empathy.
  • Collect and verify client information, including insurance cards during intake.
  • Conduct customer satisfaction and appointment confirmation calls.
  • Schedule appointments for employment assessments, workshops, and follow-ups across multiple programs.
  • Provide administrative support to program staff, including preparing forms, packets, and case record files.
  • Perform data entry in the Electronic Health Record (EHR) system for tracking and reporting.
  • Maintain organized digital and physical filing systems.
  • Serve as a backup for Interpreter Services when needed.
  • Scan and upload client documents per agency and funder requirements, ensuring proper labeling and secure storage.
  • Monitor and order office and program supplies; track inventory and ensure timely replenishment.
  • Process invoices and purchase requests in accordance with agency procedures.
