The Program Assistant Manager assists with the coordination, administration, and daily operations of assigned programs within the Community Service Board of Middle Georgia (CSBMG). This role provides operational support, staff oversight, scheduling assistance, compliance monitoring, and administrative coordination to ensure quality service delivery aligned with CSBMG’s mission of providing innovative behavioral healthcare services throughout Middle Georgia.

Requirements

  • High School Diploma/GED Equivalent
  • Valid Georgia Driver’s License
  • Effective verbal and written communication skills
  • Strong interpersonal skills and the ability to work effectively with diverse communities
  • Ability to work independently and in collaboration with others
  • Experience with Microsoft 365 Office Products
  • Ability to organize, prioritize and meet deadlines accordingly

Nice To Haves

  • Previous administrative or secretarial experience
  • Previous experience in a healthcare setting

Responsibilities

  • Provides administrative support for the department Director and Managers as needed
  • Receives, sorts, analyzes, and summarizes material for the preparation of reports; maintains department records.
  • Prepares, submits, and reconciles purchase orders, and other financial transactions
  • Assists in the development and implementation of quality assurance/quality improvement measures for the department.
  • Schedules team meetings
  • Maintains client schedules in system, manages all rescheduling and cancellations, and makes new appointments as requested.
  • Regular attendance and punctuality is a requirement of this position.
  • Maintaining a professional and courteous manner and an ability to work harmoniously with other employees, clients and the general public.
  • Attend staff meetings and take minutes
  • Submits office supply orders for clinic
  • Respond to emails and answer phone calls
  • Maintain office calendars and send out appointment reminders
  • Carry out administrative tasks as required to facilitate an efficient working environment
  • Communicate and negotiate with clients, customers and supervisors
  • Treats others with courtesy, respect, and dignity in the workplace.
  • Promotes cooperation through open and honest communications and consideration of others’ ideas, thoughts, and opinions.
  • Follow agency personnel and safety procedures.
