About The Position

This position is responsible for facilitating the processes and operations of the assigned program or area. The Program Assistant will serve as a point of contact for the assigned program/area, providing program information and assistance to potential and current students, college staff, campus managers, site staff, and the general public via telephone, emails, and in person. The role involves maintaining internal department documents and files with confidentiality, processing and maintaining program records including timely and accurate data entry of personal student information, attendance, assessment scores, and other required information. Additionally, the position will pre-register program and/or in-service participants, assist with registration at in-services and large professional development events, and aid with student recruitment through attendance at community outreach events. The assistant will also prepare and disseminate student registration/orientation publications, assist with student registration/orientation and/or professional development sessions (including securing room reservations, materials preparation, online registration, and other related activities), and compile data from various sources to design and produce reports as needed. Support duties for instructors include making copies, student attendance follow-up, preparing student sign-in/out logs, and administering student assessments. The role also involves maintaining various department records, inventory of supplies, and assisting with end-of-semester class close-out. Other duties, tasks, and assignments as required will also be performed.

Requirements

  • High School Diploma or equivalent required
  • 2 years progressive secretarial experience required
  • Valid Texas Driver License
  • MS Office Programs
  • Information Management Systems

Responsibilities
