About The Position

Moog Space and Defense Group is seeking a Program Administrator to join their team in Salt Lake City, Utah. This is an onsite role reporting to the Staff Program Manager. The position operates within a collaborative environment with a 9/80 work schedule, offering every other Friday off. The Program Administrator will be responsible for ensuring accuracy in contract order entry and invoicing, maintaining compliance with documentation standards, and providing timely responses to inquiries. Key duties include proactive communication of order status, resolution of shipping issues within 48 hours, maintaining up-to-date dashboards and reports, safeguarding confidential information, and supporting audits. Success in this role requires professionalism in customer interactions, attention to detail, and a commitment to continuous process improvement. The role supports timely, compliant program execution and financial performance through order processing, logistics coordination, and accurate documentation management, acting as a liaison between internal teams and customers.

Requirements

  • Bachelor’s degree in business or related field with three(3)+ years of experience
  • Experience with ERP/order management systems (SAP, MBS, CCRF preferred)
  • Strong communication, attention to detail, and data accuracy skills
  • Solid business acumen, contract awareness, and analytical/problem-solving ability
  • Ability to manage multiple priorities in a fast-paced environment
  • Customer-focused with strong stakeholder collaboration skills
  • Ability to obtain a U.S. DoD Secret Security Clearance

  • Familiarity with logistics in space/defense industries a plus

Responsibilities

  • Enter and maintain contract and sales order data in ERP systems to support accurate, timely fulfillment of program obligations
  • Generate invoices and process credit requests and credit memos in accordance with company policies
  • Manage packer requests and resolve shipping issues escalated by internal shipping teams
  • Communicate professionally with customers, responding to inquiries and supporting small business needs
  • Maintain official program records for audit purposes
  • Prepare contract briefs to support incurred cost submissions
  • Review bailment agreements and ensure adherence to contractual requirements
  • Utilize compliance matrices to verify contract execution
  • Partner with internal departments to ensure order fulfillment and resolve operational issues
  • Manage Return Under Review (RUR) and repair warranty processes
  • Develop and maintain dashboards and weekly reports to track program performance
  • Apply foundational understanding of contracts and program operations to ensure accurate documentation and compliance
