About The Position

Koniag IT Systems, LLC, a Koniag Government Services company, is seeking a Program Administrative Support Specialist with a TS/SCI security clearance to support KITS and our government customer at Langley Air Force Base, Hampton, VA. This role provides comprehensive administrative support for contract execution and ACC/A3I Division operations, covering both contract program administrative functions and the day-to-day administrative needs of the ACC/A3I Division. The goal is to ensure continuity of operations, responsiveness to leadership, and effective management of administrative workflows in both classified and unclassified environments.

Requirements

  • TS/SCI security clearance
  • Minimum 6+ years of administrative support experience in Department of Defense (DoD) or federal government environments
  • Minimum 3 years of executive-level administrative support experience
  • Proven experience supporting senior military or civilian leadership (O-6/GS-15 level or above)
  • Demonstrated experience with DoD correspondence standards and formats
  • Experience managing complex calendars for multiple executives
  • Experience coordinating with multiple organizations and stakeholders at various levels
  • Proficiency in DTS, TMT or equivalent tasker management systems
  • Proficiency in DAF365/SharePoint, and Microsoft Office Suite
  • Knowledgeable of CUI handling requirements, OPSEC, and applicable DoW and Air Force administrative policies and procedures
  • Strong written communication skills
  • Attention to detail
  • Ability to manage multiple competing priorities under deadlines
  • CompTIA Security+ (or equivalent DoD 8570 IAT Level II certification) required
  • Active /Current TS/SCI clearance required
  • Expert level proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Expert level proficiency in Microsoft Teams, SharePoint, and OneDrive

Nice To Haves

  • Experience supporting both a contractor program and a government division or directorate is preferred.
  • Familiarity with Air Force Tongue and Quill standards, GPC processes, visitor control procedures, event coordination, and government records management requirements is preferred.
  • Defense Travel System (DTS) certification preferred.
  • Coursework or certification in project management, executive assistance, or administrative management

Responsibilities

  • Manages calendars and scheduling in support of contract execution and ACC/A3I Division leadership, including scheduling and deconflicting meetings, preparing agendas, capturing meeting notes and action items, and tracking actions to closure.
  • Coordinates facility reservations, video teleconference (VTC) and collaboration platform setup, and visitor access or clearance coordination for scheduled events.
  • Provides logistical and administrative planning support for conferences, off-sites, working groups, and leadership engagements, including venue coordination, agenda preparation, attendance tracking, AV/VTC setup, catering, and post-event action item capture.
  • Manages the receipt, routing, tracking, and closure of taskers using the Tasker Management Tool (TMT) or equivalent systems on NIPRNet and SIPRNet, ensuring timely completion and escalation of at-risk taskers.
  • Prepares, formats, routes, and tracks official correspondence, briefings, read-aheads, decision packages, and other written communications in accordance with Air Force Tongue and Quill standards.
  • Maintains a correspondence log, tracks suspense dates, and ensures all products are properly marked, handled, and stored consistent with CUI requirements.
  • Maintains SharePoint environments on DAF365 for contract program management and ACC/A3I Division operations, including site organization, document version control, and access management.
  • Coordinates and processes travel authorizations and vouchers for contract personnel using the Defense Travel Systems (DTS) in accordance with Joint Travel Regulations (JTR).
  • Supports visitor coordination and base access management, including preparation of visit requests, coordination with security offices, escort coordination, and maintenance of visitor logs.
  • Provides administrative coordination support for contract acquisition activities, including preparation of purchase request documentation, Government Purchase Card (GPC) coordination, and tracking of contract deliverables.
  • Performs administrative support duties such as managing organizational email distribution lists, supporting onboarding coordination, maintaining organizational charts, managing front office functions, and assisting with special projects.
