About The Position

Southside Unlimited is looking for an organized, dependable, and solution-oriented Program Administrative Supervisor to support our Employment Services Department. This position works closely with the Director of Programs and Employment Services Supervisors to keep program information, reporting, documentation, deadlines, and administrative systems organized and on track. This is not a traditional direct-supervision position. The position does not have regular direct reports or ongoing responsibility for employee performance management. However, the Program Administrative Supervisor will serve as an On-Call Supervisor when needed to support staff, Job Seekers, and daily department operations. This is a great opportunity for someone who enjoys organization, problem-solving, data, systems, and helping a team succeed.

Requirements

  • High school diploma or equivalent.
  • Experience in administration, program support, data management, reporting, human services, nonprofit work, or a related field.
  • Strong organizational, communication, and follow-through skills.
  • Proficiency with Microsoft Office, Excel, Google Workspace, and Google Drive.
  • Ability to work with spreadsheets, databases, dashboards, and tracking systems.
  • Ability to manage confidential and sensitive information appropriately.
  • Valid driver's license, current auto insurance and registration, and reliable transportation.
  • Ability to comply with Southside Unlimited's drug-free workplace policy.
  • Availability to work some evenings and weekends each month as part of the position's regular scheduling requirements.

Nice To Haves

  • Experience with Regional Center, Department of Rehabilitation (DOR), Employment Services, or other publicly funded programs.
  • Experience with program reporting, quality assurance, compliance, or outcome tracking.

Responsibilities

  • Prepare and maintain program reports, spreadsheets, dashboards, and tracking systems.
  • Track program requirements, deadlines, referrals, employment outcomes, PIP/CIE milestones, and other key department measures.
  • Review documentation and information for accuracy, completeness, and consistency.
  • Follow up on missing or overdue information.
  • Assist with Regional Center, DOR, contract, audit, and monitoring requirements.
  • Provide administrative and quality support to supervisors and staff.
  • Create and improve forms, templates, tracking systems, and department processes.
  • Identify gaps, recurring problems, and opportunities for improvement.
  • Assist the Director with department projects, planning, reporting, and follow-up.
  • Maintain confidentiality and handle sensitive participant, employee, and organizational information appropriately.
  • Serve as On-Call Supervisor when needed, providing immediate support with staffing, scheduling, Job Seeker, jobsite, or staff concerns.
  • Respond appropriately to urgent situations using a person-centered approach and established department practices.
