About The Position

Malcolm X College is seeking a Program Administrative Assistant for the Child Development Center. The Child Development Laboratory Schools aim to be leaders in providing high-quality, comprehensive programs, serving as demonstration and training sites for faculty, students, and children of college staff, as well as the greater Chicago community. The mission is to offer superb Early Learning services for preschool children and their families, implementing practices based on established standards and research in Early Care and Education. The program is committed to supporting City Colleges of Chicago students, staff, and the broader community. The approach to Child Development and Education is developmentally and linguistically appropriate, recognizing individual differences in children's development, interests, temperaments, languages, cultural backgrounds, and learning styles. Requirements

  • Associate’s Degree in Business, Education, or a related field.
  • Two (2) years of experience in completing clerical tasks.
  • Two (2) years of experience working with clients/customers.
  • Must have a “customer service” attitude.
  • Strong oral and written communication skills.
  • Highly organized, motivated, and able to meet deadlines.
  • Able to work independently with limited supervision.
  • Computer skills and a working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).

Nice To Haves

  • Bachelor’s Degree preferred.
  • Work experience in a Head Start center or social service agency is preferred.

Responsibilities

  • Assisting the Site Director in areas of enrollment, attendance, health, safety, and nutrition in accordance with Head Start regulations, licensing, and accreditation standards.
  • Filing and record keeping, creating documents and reports.
  • Acting as the first point of contact for parents and visitors to the Child Development Lab Schools.
  • Adhering to NAEYC Code of Ethical Conduct, demonstrating a professional attitude and work ethic.
  • Demonstrating respect for children, families, and colleagues at all times.
  • Assisting in recruiting, enrolling, and maintaining information about eligible children for the center by gathering and entering data and maintaining appropriate files, binders, and children’s folders.
  • Directing parents, visitors, and faculty to appropriate staff persons via face-to-face and telephone contacts.
  • Working with parents on issues surrounding enrollment, fee payment, and family concerns under the supervision of the Site Director.
  • Assisting in the management of accounts payable and receivables; maintaining tracking of volunteer hours for in-kind billing.
  • Creating, revising, and updating all documents, memos, letters, and forms as needed for all funding sources, as well as editing and distributing the monthly newsletter.
  • Completing monthly reports and providing other assistance to the Site Director as needed.
  • Entering information into child development schools management tracking systems, including attendance, health information, family information, and staff information.
  • Coordinating student observers, visitors, and tracking student hours, as well as maintaining appropriate documentation.
  • Assisting Family Services Coordinators with assigned tasks.
  • Maintaining inventory and ordering office and classroom materials and supplies.
  • Working with the college to ensure the center receives appropriate food service.
  • Documenting problems with services.
  • Attaining a food service license and assisting with food disbursement.
  • Assisting with ordering food as needed.
  • Maintaining the office environment for excellent customer service.
  • Performing related duties as assigned.
