About The Position

This position is for an Administrative Assistant at a Child/Adolescent Crisis Center, working the second shift (3 pm - 11:30 pm). The role involves a variety of front-desk, reception, and administrative functions to support the center's operations and client services. The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbents of this job. Incumbents may be requested to perform job-related tasks other than those specifically presented in this description.

Requirements

  • High School or GED required.
  • Three to four years’ experience working in an office setting and performing various clerical or administrative tasks.
  • Advanced knowledge of Microsoft Office Suite.
  • Strong oral and written communication skills.

Nice To Haves

  • Completion of up to 18 months’ business school, beyond high school preferred.

Responsibilities

  • Performs front-desk/reception functions including greeting clients and visitors, answering a multi-line switchboard, forwarding calls, taking messages, checking in clients (verifying demographic information, collecting payment, documenting payment, notifying clinician), reconciling cash drawer, scheduling appointments, copying, sorting, and delivering mail, sending and receiving faxes, assisting clients with intake forms, and handling customer service interactions.
  • Enters client data into electronic information systems (demographics, eligibility, service corrections) and other program-specific data into various databases.
  • Provides medical records-related support to Health Information Management staff as needed.
  • Files and maintains correspondence, records, reports, and other documents related to site operations.
  • Performs administrative functions such as typing, data entry, generating requisitions for supplies and services, and taking meeting minutes.
  • Runs and assesses monthly/quarterly reports, problem-solves inaccuracies, and takes action on report results.
  • Coordinates work site's IT functions as needed.
  • Participates in the daily deposit process, including reconciliation.
  • Monitors office supply inventory and orders supplies as needed.
  • Calls in prescriptions to pharmacies, coordinates lab appointments, and processes lab results.
  • Acts as a liaison with the Properties department for submitting work orders and communicating site needs.
  • May act as Infection Prevention Representative, monitoring supplies, attending meetings, and communicating measures to staff.
