About The Position

Cooley is seeking a Professional Development Events and Operations Coordinator to join the Professional Development team. The Professional Development Events and Operations Coordinator is responsible for coordinating Professional Development events and providing logistics and operational support for the Professional Development department, with a primary focus on the planning and execution of PD Academies and other firmwide learning initiatives.

Requirements

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
  • Available to work overtime, as required
  • 2+ years of direct related experience (e.g., administrative, project coordination or event coordination) experience)
  • Technical problem-solving abilities

  • Experience working in professional services firm
  • Interest in learning and applying firm-approved AI and automation tools to streamline administrative and event coordination workflows

Responsibilities

  • Maintain firmwide Professional Development calendar for PD events and Academies; distribute timely updates and changes
  • Coordinate scheduling and end-to-end logistics for PD events and initiatives (including PNC/SC)
  • Manage registrations, attendance, and event rooming lists
  • Provide onsite event support, including check-in, materials distribution, speaker support, and issue resolution
  • Liaise with Marketing, Creative, and Technology to coordinate event communications, deliverables, and technical requirements
  • Develop and maintain templates and tools for PD (e.g., tip sheets invitations, agendas, checklists, and evaluation forms)
  • Standardize procedures across annual Academies
  • Process invoices and expenses; support department budget tracking and documentation
  • Identify opportunities to improve recurring event and administrative processes by developing standardized workflows, templates and documentation and by thoughtfully leveraging firm-approved technology and automation tools.
