About The Position

The Production Coordinator schedules and manages the flow of products through the development process (development, edit, translation, and production including authoring and QA) and ensures readiness for publication/sales. Accountable for the integrity of the development process and the quality and timely delivery of products. Provides process guidance to CSA staff, committee members, subject matter experts, and external editorial, production, and translation resources. Ensures the integrity and availability of final products for delivery though CSA’s Online Store, subscription service, learning management system and print (if applicable). Acts as a point of contact for all pre- and post-production duties including incorporation of updates, draft conversion, versioning, translation, reaffirmations and file management. Triages incoming assignments, prioritizes workload, reports on project status, identifies and mitigates project risks. Prepares content files for production tasks as appropriate (example, translation file prep and/or narrator file prep). Manages contract creation, execution, and document retention as per CSA guidelines. Manages new supplier set-up in coordination with procurement. Reviews and processes invoices from external vendors. Responsibilities require liaising with all levels of product development, standards development, product strategy, sales, certification, procurement, and external vendors. Participates in the delivery of the standards and education products in co-operation with standards development staff, committee members, and product development team members, keeping the management team informed of advances or delays.

Requirements

  • Postsecondary degree/diploma and equivalent 3-year work experience required (example: digital publishing, e-learning, and/or translation work experience).
  • Proficient in Microsoft Office Suite, Adobe Creative Suite, XML and HTML, Mathflow/MathML, Translation software, and/or eLearning platforms required.
  • Excellent written and verbal communication skills - communicates effectively and professionally.
  • Fluency in French is a requirement for candidates hired for our Quebec office.
  • Fluency in English is a requirement to meet the needs of our clients outside of Quebec.

Nice To Haves

  • Experience with content management systems and process management systems (ex. Alfresco) is an asset.
  • Strong team player, attention to detail and proven independent problem-solving skills.
  • Working knowledge of translation and publishing processes including sales and distribution and materials management processes is an asset.

Responsibilities

  • Provides guidance to editorial, production, translation, product development, project management, instructional designers, and external vendor resources to resolve questions and problems related to production as required.
  • Assist in the tracking of time and costs against projects and plan; makes recommendations to management as required
  • Daily communication with vendors, internal and external stakeholders to meet project needs in English and French, if applicable
  • Must make timely and informed decisions with minimal guidance on their tasks to ensure they maintain timelines and quality of work.
  • Initial point of contact for project submissions from Standards Development, translation vendors/reviewers, Product Managers and/or external vendors.
  • Responsible for ensuring projects submitted to Product Development are complete, accurate, timely and follow appropriate procedures.
  • Monitors schedules and manages the flow of products through internal and external resources to complete project deliverables on time and on budget.
  • Prioritizes workload, identifies and mitigates project risks
  • Monitors content management system to ensure that metadata and file naming conventions are acceptable within CSA guidelines.
  • Provides corrective guidance where necessary.
  • Assigns work out to external vendors.
  • Reviews quality of work submitted by external resources and takes steps to rectify unsatisfactory submissions.
  • Prepares print specs for all new and revised products and ensures delivery to system/vendor.
  • Maintains and manages multiple and/or changing priorities quickly with flexibility, initiative and a team focus to drive success.
  • Working with CSA’s publishing systems software and staying updated with developments.
  • As assigned, acts as departmental representative on Second Level Review (SLR) Committee to assess accreditation compliance and determine if the post-ballot draft is ready to proceed to publication.
  • Coordinates with external resources/vendors, production resources, printer, committee members, subject matter experts, and other Standards Development Organizations.
  • Responsible for the support of CSA’s terminology database and translation memory through the coordination and maintenance of translated products using Trados and Trados Groupshare software.
  • Responsible for ensuring the security and integrity of production files, ensures print quality as well as compatibility with current digital rights management tools, validates and uploads final products for next stage work or sales.
  • As required, maintains published documents to reflect any changes during their lifecycle e.g., Reaffirmations, updates, errata, and Retro NSC.
  • Performs post-production analysis of published products and manages document conversion with internal or external resources for future development work.
  • Acts as a problem solver for discrepancies, errors, and omissions in a variety of processes, reports on root causes, and recommends corrective action in order to ensure optimum efficiency of product delivery.
  • Willing and able to work on special projects from time to time as assigned by management.
  • Takes initiative to recommend and implement processes improvement recommendations with minimal input from management as required.
  • Supports production operations with related tasks or similar duties as assigned by Management.
