About The Position

The Production Assistant (Administrative – Production Planning) supports the Production Manager by handling the administrative, scheduling, and coordination tasks required to keep production activities running smoothly. This role focuses on documentation, workflow support, communication, and the administrative aspects of production planning rather than hands‑on shop-floor duties. Requirements

  • 1–3 years of experience in an administrative or production-support role (manufacturing environment preferred).
  • Strong organizational and time-management skills.
  • Proficiency with MS Office (Excel, Word, Outlook); experience with ERP/MRP systems is an asset
  • Experience using SAP for purchasing, order tracking and inventory management is an asset
  • Work with multiple departments to obtain updates pertaining to production availability, ie Maintenance for OEE, Procurement for material availability, etc.
  • Liese with third party suppliers & contractors from time to time
  • Hand-on approach to tasks including presence on the shop floor gathering production updates from stakeholders
  • Excellent verbal and written communication skills.
  • Ability to multitask and work in a fast-paced production environment.
  • Analytical mindset and comfort with working on spreadsheets, schedules, and data.
  • Demonstrated knowledge of using AI tools (such as CoPilot, Cloud)

Responsibilities

  • Prepare daily/weekly production reports and track key production metrics.
  • Communicate schedule changes to relevant departments (maintenance, warehouse, procurement, operations).
  • Assist with capacity planning by gathering data and updating planning templates.
  • Organize production meetings, record minutes, and follow up on assigned action items.
  • Maintain digital and physical production files, ensuring documents are current and accurate.
  • Liaise with vendors or internal teams to support production readiness and timely material availability.
  • Conduct all non shop order material and supply ordering such as tools, consumables, PPE, etc.
  • Provide general administrative support to the Production Manager and team.
