About The Position

The Procurement Specialist (Coordinator) is responsible for sourcing, evaluating, and procuring transit-related parts, materials, and services in alignment with organizational policies. This role involves preparing and processing purchase orders, negotiating with suppliers, monitoring supplier performance, and developing RFPs/RFQs. Additionally, the position manages inventory levels, coordinates logistics, handles vendor and contract management, and performs data analysis and reporting to identify trends and improvements. The role requires a high school diploma, a minimum of 3 years of procurement experience, computer literacy, and prior experience with automation capabilities in sourcing and procurement platforms. The ideal candidate is customer service-oriented, detail-oriented, and possesses strong communication, organizational, and decision-making skills.

Responsibilities

  • Source, evaluate, and procure transit-related parts, materials, and services in alignment with organizational policies
  • Prepare and process purchase orders, ensuring accuracy, completeness, and compliance
  • Perform price and contract negotiations with suppliers to achieve cost savings and favorable terms
  • Monitor supplier performance, including delivery timelines, quality, and responsiveness
  • Develop requests for RFP’s and RFQ’s for supplies, goods and services as required in compliance with FTA procurement standards
  • Maintain accurate inventory levels of bus, rail, or fleet components, tools, and consumables
  • Monitor stock usage trends and establish reorder points to prevent shortages or overstock
  • Conduct regular inventory audits, cycle counts, and reconciliation of discrepancies
  • Utilize inventory management systems to track parts movement and usage
  • Coordinate the receiving, inspection, storage, and distribution of parts and materials
  • Ensure timely fulfillment of maintenance work orders and requests from operations teams
  • Expedite critical or emergency orders to reduce fleet downtime
  • Coordinate with maintenance teams to forecast parts demand and prioritize needs
  • Maintain strong relationships with vendors and contractors
  • Ensure compliance with procurement policies, safety standards, and regulatory requirements
  • Track warranties, service agreements, and vendor documentation
  • Analyze purchasing and inventory data to identify trends, savings opportunities, and process improvements
  • Prepare reports on inventory levels, procurement performance, and cost metrics
  • Support budgeting and forecasting activities related to parts and supplies
  • Ensures consistent data accuracy of procurement and EAM tracking systems
