Processing Assistant Supervisor - WIC

About The Position

This position works as a direct assistant to the WIC Director and requires considerable knowledge of the work unit, organization, and relevant regulations. Works as a direct supervisor to the support staff, which consists of WIC clerical staff, and oversees the management of program function in the clerical area and vendor unit. Works closely with the nutrition staff in a support position. Functions as the Vendor Manager and provides assistance and accountability for the WIC Vendor section. Interprets and explains policies and procedural guidelines to ensure compliance of the WIC administrative areas. Other duties as assigned by supervisor and/or Health Director.

Requirements

  • Completion of high school or equivalent and four years of progressively responsible secretarial or clerical/administrative/office management experience
  • Completion of a two-year secretarial science or business administration program and two years of progressively responsible secretarial or clerical/administrative, office management experience
  • Completion of a four-year program in a college or university preferably with a major emphasis on coursework in business administration, public administration, or other related field
  • An equivalent combination of training and experience
  • Ability to accept responsibility and account for his/her actions
  • Ability to organize and manage time and resources
  • Ability to perform work accurately and thoroughly
  • Considerable knowledge of general office management techniques and basic calculations
  • Ability to show kindness, empathy and genuine care

  • Knowledge of general human behavior and techniques for effecting problem solving, answering questions and providing quality customer service

Responsibilities

  • Manage appointment scheduling, clinic/work flow and administrative/vendor activities
  • Determine WIC Program eligibility according to established criteria
  • Supervise and plan the work of support staff members
  • Analyze and interpret county and program policy and procedural guidelines
  • Problem solve and answer questions
  • Attend required meetings and workshops
  • Complete all required documentation and maintain records
  • Manage office/clinic inventory
  • Serve as the liaison between the state office/WIC office and local vendors
  • Other duties and responsibilities as assigned
  • Serve as backup to WIC lab staff performing hemoglobin testing.
