About The Position

Help make every procedure a little easier. At Gastro Care Partners, we believe that great patient care starts long before a patient enters the procedure room. As a Procedure Scheduler, you’ll play an important role in making sure patients, providers, and surgical centers are all on the same page—keeping procedures moving, details accurate, and patients informed every step of the way. If you’re organized, proactive, comfortable juggling multiple priorities, and enjoy being the person who can take a complicated scheduling puzzle and figure it out, we’d love to hear from you!

Requirements

  • High school diploma or equivalent.
  • At least 2 years of experience in a healthcare setting.
  • Knowledge of medical terminology.
  • Proficiency with Microsoft Excel and/or healthcare scheduling systems.
  • Strong communication and customer service skills.
  • Excellent organization and attention to detail.
  • Ability to manage multiple requests and priorities in a fast-paced environment.
  • Strong problem-solving skills and the confidence to know when to resolve an issue independently and when to escalate.

Nice To Haves

  • 1+ year of experience scheduling surgeries and/or procedures preferred.
  • Familiarity with ICD-9 and CPT coding preferred.

Responsibilities

  • Own the scheduling process for patient procedures and surgeries based on physician orders.
  • Communicate procedure details, preparation instructions, and financial responsibilities to patients and/or their families in a clear, timely, and compassionate way.
  • Partner with physicians and providers regarding scheduling needs, procedure requirements, and patient education materials.
  • Send and coordinate physician orders with endoscopy centers, surgery centers, hospitals, and other appropriate facilities.
  • Schedule procedures and surgeries within established physician block times and facility requirements.
  • Keep schedules accurate and on track while communicating proactively with support teams about delays, cancellations, or other issues.
  • Monitor physician scheduling requests throughout the day and make sure time-sensitive needs are addressed.
  • Troubleshoot scheduling challenges, research solutions, and escalate issues appropriately when additional guidance is needed.
  • Recommend solutions when scheduling issues arise rather than simply passing the problem along.
  • Protect patient privacy and maintain compliance with HIPAA and organizational policies.
  • Assist with additional operational needs and projects as assigned.
