About The Position

The Puyallup Municipal Court is accepting applications for its Probation Assistant position. This is a regularly budgeted, 35 hour per week position. The successful candidate will perform a variety of basic general office and clerical tasks in support of the Probation Officer and the Court. Tasks follow well defined procedures which are highly routine. Attention to work is required to prevent errors. This position has contact with the public and other City employees. Work is performed in an office setting. The City of Puyallup is a community of 43,000 and is situated at the foot of scenic Mount Rainier. Requirements

  • Knowledge of: Microsoft Office Suite, Judicial Information System and Lawbase software programs; Secure Continuous Remote Alcohol Monitor (SCRAM) system; Proper grammar, punctuation and spelling; Basic record keeping and filing practices; Generally accepted office procedures and practices; Basic arithmetic.
  • Ability to: Work independently spending most days working at a computer entering and extracting data; Enter data accurately and process work efficiently; Operate software programs such as Word and Windows and standard office machines such as personal computer, copier, scanner, calculator; Understand and comply with both oral and written instructions; Comprehend organization structure and personnel in order to correctly direct documents, messages, and telephone calls; Make accurate arithmetic calculations; Establish and maintain effective working relationships with other co-workers, stake holders and the public Use tact and judgement in responding to the public, law enforcement, offenders, and officials from other agencies; Remain calm and productive in a busy office environment under stressful conditions; Maintain confidentiality of sensitive information; Meet work schedules/deadlines; and Maintain regular, reliable and punctual attendance.
  • Graduation from high school (or GED); one year of clerical experience; or, any equivalent combination of experience and training which provides the knowledge and abilities required.

Responsibilities

  • Operates a personal computer using Microsoft Office; Provides support to the Probation Officer and Court to include document processing and client assistance; Efficient in all facets of basic clerical skills including answering phones, filing, and operating computer data entry programs such as the court’s case management system (Judicial Information System) and probation file management system (Lawbase); Assists the probation department with intake paperwork, including entering new probation referrals and maintaining data in Lawbase; Monitors compliance of treatment obligations with providers; timely entering reports into the court record and notifying appropriate individuals of a report of non-compliance; Installs, monitors and maintains the court’s SCRAM devices, and refers non-compliance to the Court; Monitors communication and compliance reports from other agencies for pre-trial release conditions or sentencing alternatives such as home detention and alcohol monitoring services; Completes applications for Interstate Compact Offender Tracking System (ICOTS); Responsible for probation office efficiencies by ensuring adequate supplies for UAs and may facilitate UA collection in the absence of the Probation Officer; Supports Probation Officer in providing in-house Moral Reconation Therapy (MRT) classes, including scheduling classes and providing class materials; and Performs other duties as assigned.
