About The Position

This role provides essential clerical and administrative support to the principal, vice principal, and teaching staff at North Elementary. The Principal Secretary ensures the smooth and organized operation of the school office, acting as a key liaison between the school, the community, and the district. This position requires strong organizational skills, the ability to handle pressure, and a commitment to maintaining confidentiality.

Responsibilities

  • Provide clerical and administrative support to the principal, vice principal and teaching staff.
  • Ensure that the office operates in a consistently organized manner every day.
  • Act as liaison between the community, the school and other internal and external stakeholders.
  • Coordinate appropriate documents for communication with the district office.
  • Maintain all recordkeeping for students and staff.
  • Maintain student and staff confidentiality in all circumstances.
  • Track attendance and absences; use reporting software/generate reports.
  • Communicate effectively with a variety of district and community officials.
  • Use common computer hardware and software efficiently.
  • Perform data entry.
  • Perform general office duties such as answering telephone inquiries, filing, spreadsheets.
  • Display strong communication, interpersonal and organizational skills.
  • Carry out assigned tasks with minimal direct supervision.
  • Provide services for teachers, administrators and students like typing, proofreading, and editing.
  • Maintain the integrity of information systems, databases, and office files.
  • Prepare and circulate communication documents.
  • Reconcile accounts.
  • Coordinate room reservations for internal and external meetings appointments, events being held on campus.
  • Purchase departmental resources like materials, computers hardware, software and office supplies.
  • Enroll students using school database/software.
  • Distribute incoming mail daily.
  • Dispense medication and attend to other medical needs of students when the nurse is off campus.
  • Create and maintain up to date class lists.
  • Manage activity fund accounts.
  • Facilitate Friday lunch orders for staff.
