About The Position

The Principal Administrative Business Partner for the newly formed Immunology Squad will play a pivotal role in shaping the U.S. Commercial, Medical, and Genentech Public Affairs and Access (CMG) strategy for our vital portfolio. This highly visible role will provide dedicated strategic support to the Immunology Squad Leader (Vice President) and the broader Squad, alongside ad-hoc support to Executive and Senior Marketing Directors. Working in tandem with the Operations and Administration team, this role will act as a key contributor to the Commercial Portfolio Organization’s (CPO) Community, driving process improvements and cross-functional alignment.

Requirements

  • An average of 5-7 years of related administrative, operations, or project management experience.
  • Proven track record of managing highly confidential, sensitive, and proprietary business information with discretion.
  • In-depth expertise using cSuite tools (including Gmail, Google Calendar, Sheets, Slides, Meet, and Zoom) along with collaboration platforms like Trello.
  • Demonstrated experience planning, coordinating, and prioritizing complex workflows independently within and across multi-functional groups.
  • A strong track record of meeting or exceeding organizational goals while actively creating a collaborative, inclusive, and productive team climate.

Nice To Haves

  • Experience gained within the pharmaceutical or biotechnology industry is strongly preferred.
  • Previous work experience within Roche or Genentech is highly desirable.
  • Prior experience training other administrative staff or team members on company systems, tools, and processes.
  • A BS/BA degree or equivalent industry experience.

Responsibilities

  • Independently manage complex, multi-time-zone calendar scheduling and coordinate communication workflows for top-management internal and external stakeholders with high confidentiality.
  • Lead the end-to-end planning, logistics, venue/speaker selection, AV requirements, and contract management for large-scale department offsites, Global Town Halls, summits, and major Congress events.
  • Partner with leadership and communications teams to design, track, and execute internal communication strategies, managing departmental gSites, newsletters, and distribution rosters.
  • Oversee departmental space planning processes, serving as a strategic thought partner to leadership for team placement and project management.
  • Manage vendor and speaker engagements, including driving the RFP/vendor selection process, managing contracts, and overseeing timely payments.
  • Assist in organizing network engagement activities, managing administrative logistics for complex candidate interview processes, and overseeing the first 30 days of the onboarding checklist.
