About The Position

US Heart and Vascular is seeking a Primary Medical Assistant to join their team at the Cardiology Center of Houston in Katy, TX. This role involves direct patient care, clinical support, patient services, medical records management, imaging and diagnostic workflow coordination, and communication/care coordination. The Medical Assistant will be responsible for greeting and preparing patients, documenting vital signs and medical histories, performing EKGs and Holter monitor placements, administering medications, processing cardiac clearances and prescription refills, providing patient education, maintaining exam rooms, and ensuring efficient clinic flow. They will also serve as a primary point of contact for patients and providers, manage appointments, handle insurance authorizations, monitor digital communications, manage patient records in the EMR, and coordinate with external facilities for imaging and diagnostic workflows. Collaboration with physicians, other healthcare professionals, and patients is key to ensuring seamless patient care and continuity. Exceptional customer service, professionalism, and compassion are expected in all patient interactions.

Requirements

  • High School Diploma or GED.
  • Completion of an accredited Medical Assistant program.
  • Current Certified Medical Assistant (CMA) credential.
  • Current Basic Life Support (BLS) certification.
  • Minimum one year of experience in a medical office, healthcare administration, or clinical medical assistant role.
  • Strong computer proficiency and experience with electronic medical record systems.
  • Knowledge of HIPAA regulations and patient privacy requirements.

Nice To Haves

  • Previous cardiology or specialty practice experience is preferred.
  • Experience with eClinicalWorks (eCW), PACS, and image-sharing platforms is preferred.
  • Experience performing EKGs, Holter monitor placement, and stress test preparation is preferred.
  • Knowledge of medical terminology, insurance verification, referrals, authorizations, and diagnostic testing workflows is preferred.
  • Understanding of cardiovascular conditions, medications, and procedures is preferred.

Responsibilities

  • Greet and prepare patients for office visits, cardiac evaluations, and diagnostic testing.
  • Obtain and document patient vital signs, medical histories, and other clinical information in the electronic medical record (EMR).
  • Perform electrocardiograms (EKGs), Holter monitor placement, and assist with stress test preparation as trained and authorized.
  • Administer medications and injections as directed by providers and within scope of practice.
  • Process cardiac clearances, prescription refill requests, prior authorizations, and patient care documentation.
  • Provide patient education and reinforce provider instructions regarding testing, medications, and follow-up care.
  • Maintain exam room cleanliness, supply inventory, and equipment readiness.
  • Ensure patients are roomed efficiently and clinic flow is maintained.
  • Serve as a primary point of contact for patients, visitors, referring providers, and external healthcare facilities.
  • Answer and route incoming calls, respond to patient inquiries, and assist with appointment-related needs.
  • Schedule, confirm, reschedule, and coordinate patient appointments to optimize provider schedules and clinic productivity.
  • Contact patients regarding appointment reminders, testing instructions, referrals, insurance requirements, and financial responsibilities.
  • Obtain and verify insurance authorizations and referrals as required.
  • Monitor and manage digital fax inboxes, departmental email accounts, and patient portal communications.
  • Receive, review, scan, upload, categorize, and maintain patient documentation in the EMR.
  • Verify document accuracy, patient matching, and proper record placement.
  • Process incoming and outgoing medical record requests in compliance with HIPAA and organizational policies.
  • Maintain secure, accurate, and confidential patient records and documentation.
  • Track and ensure timely completion of record requests and document workflows.
  • Perform general administrative duties including scanning, faxing, filing, mail distribution, and document routing.
  • Utilize PACS and image-sharing platforms to upload, retrieve, distribute, and archive diagnostic images and reports.
  • Coordinate external imaging requests, image transfers, and interpretation workflows.
  • Upload diagnostic reports and imaging results into the EMR.
  • Communicate with external facilities and providers regarding imaging requests, clarifications, and troubleshooting.
  • Collaborate with physicians, nurse practitioners, medical assistants, technicians, patients, referring offices, and external healthcare organizations to ensure seamless patient care.
  • Manage patient portal messages and departmental communications, responding appropriately or routing to the correct team member.
  • Assist with coordination of testing, referrals, follow-up appointments, and continuity of care.
  • Provide exceptional customer service while maintaining professionalism and compassion in all patient interactions.
