About The Position

The Preference Card Coordinator RN is responsible for maintaining an accurate, efficient, and data-driven preference card system across multiple sites, ensuring alignment of patient care needs and resources. They will serve as Subject Matter Experts in EPIC preference cards. This role involves working directly with staff, clinicians, managers, vendors, and supply chain personnel to ensure all necessary instruments, specialty supplies, implants, tissues, etc., are correctly listed on preference cards and that the correct cards are selected for scheduled procedures. Responsibilities include preference card management, case need projections, trials and evaluations, and process improvement projects within the area of service/department. The coordinator works closely with Service Heads, the scheduling office, SPD (Sterile Processing Department), and supply chain. They will utilize performance improvement methodologies to design data collection systems and processes, identifying opportunities to enhance patient care and service.

Requirements

  • Bachelor’s Degree or equivalent years of service.
  • Minimum of 5 years' recent intra-operative experience in an acute care OR environment.
  • Strong service level knowledge.
  • Ability to work positively with all patients, families, visitors, and co-workers regardless of race, gender, disease process, life-style, religious or cultural beliefs, or treatment.
  • Excellent verbal and written communication skills for a demanding and customer-focused work environment.

  • Experience with Lawson ERP.
  • Advanced knowledge of Microsoft Excel and proficient with all other Microsoft Office programs.
  • Data management skills.
  • Experience with EPIC OpTime, case scheduling, and independent project management.
  • RN - Registered Nurse - State Licensure And/Or Compact State Licensure.

Responsibilities

  • Act as the subject matter expert and be able to create, set up, and train on preference card management standards for the organization.
  • Possess strong knowledge of SHC's intra-operations, including working with supply chain, vendors, Bio Engineering, and other like departments to lead the onboarding of new surgeons and maintain the preference card system.
  • Uphold an excellent repertoire with all stakeholders and act as a positive focal point of the interventional platform.
  • Maintain and update preference cards on a regular basis and ensure their accuracy at all times.
  • Analyze and prepare for the next day’s surgical cases.
  • Review each case to ensure correct mnemonics have been assigned and scheduled correctly throughout the system.
  • Ensure the correct cards are assigned to each case.
  • Review each case for corrections, special needs, and conflict checks.
  • Create, delete, and modify new cards and groups as requested or needed.
  • Document and follow up on missing case information.
  • Review multiple mnemonic cases for duplicate and/or excessive supplies, instruments, and equipment.
  • Make new cards as necessary.
  • Modify pick lists as needed, especially for multi-card/multi-panel cases.
  • Retrieve case-specific communication and/or scheduling forms previously filed.
  • Review the schedule for add-ons and notify OR schedulers of corrections needed.
  • Ensure naming conventions for cards, equipment, supplies, and instruments are upheld.
  • Authorize mnemonics to service lines and/or locations as necessary for placing cases.
  • Process preference card and mnemonics requests from service heads or managers.
  • Support service heads in adhering to PCC workflow standards for card change requests.
  • Interface with Supply Chain, Item Master, and SPD for additions/deletions/substitutions to cards.
  • Core Picklist build and maintenance.
  • Create and submit requests to IT as needed; maintain pool quantities and cards for equipment.
  • Run basic supplies, instrument, and equipment reports as needed.
  • Daily collection and audit of preference cards and Pick Lists from the preceding days' cases.
  • Review monthly mnemonic news and update cards accordingly.
  • Attend daily huddles with ANMs, service heads, OR, SPD, and Surgical Materials managers to discuss and remedy items reported on the visibility board.

  • Base Pay Scale: Generally starting at $70.52 - $93.43 per hour
