About The Position

We work collaboratively with physicians, advanced practice providers, hospital leadership, and clinical staff to support efficient, patient-centered medical practices. We are seeking an experienced and highly organized On-Site Practice Coordinator to support our hospital-based medical practices in Dickinson, North Dakota. The Practice Coordinator will serve as the primary on-site operational liaison between medical directors, physicians, hospital leadership, and HealthSource Partners’ corporate team. This position assists leadership with daily practice operations, provider scheduling, administrative coordination, workflow improvement, and effective communication among all stakeholders. The ideal candidate has experience in a hospital or medical practice setting, demonstrates strong organizational and interpersonal skills, and can manage multiple priorities in a fast-paced healthcare environment.

Requirements

  • Associate degree required
  • Minimum of two years of healthcare experience required.
  • Previous experience in a hospital, medical office, physician practice, or similar healthcare environment required.
  • Knowledge of healthcare operations, medical terminology, provider scheduling, and clinical workflows.
  • Familiarity with HIPAA regulations and healthcare compliance requirements.
  • Strong organizational skills and the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Strong judgment, professionalism, discretion, and problem-solving abilities.
  • Proficiency with Microsoft Office and the ability to learn scheduling, electronic medical record, and practice-management systems.
  • Must reside in Dickinson, North Dakota, or be willing to relocate before beginning employment.

Nice To Haves

  • Bachelor's degree in healthcare administration, business administration, or a related field is preferred.
  • Experience supporting physicians and advanced practice providers is strongly preferred.
  • Experience with budgeting, financial reporting, utilization management, or physician practice management is a plus.

Responsibilities

  • Support medical directors with the day-to-day administrative and operational needs of the practices.
  • Serve as the primary on-site point of contact for physicians, hospital personnel, and corporate leadership.
  • Coordinate provider schedules and help identify and communicate current or anticipated coverage needs.
  • Assist with provider onboarding, orientation, credentialing coordination, and access to hospital systems.
  • Maintain accurate provider records, schedules, contact information, and other practice documentation.
  • Track and verify provider time records, shifts, and supporting documentation for billing and payroll purposes.
  • Facilitate effective communication between medical leadership, providers, hospital departments, and the corporate office.
  • Help ensure efficient patient flow and address operational issues that may affect practice performance.
  • Coordinate meetings, prepare agendas, document action items, and follow up on outstanding tasks.
  • Assist with the development and implementation of practice policies, procedures, and workflow improvements.
  • Support compliance with HIPAA requirements, hospital policies, contractual obligations, and applicable healthcare regulations.
  • Monitor practice performance and assist with operational and financial reporting.
  • Help coordinate equipment, supplies, technology access, and vendor services.
  • Respond professionally and promptly to provider, staff, or patient concerns and escalate issues when appropriate.
  • Assist with recruiting, interviewing, onboarding, training, and performance-management activities as needed.
  • Maintain a consistent on-site presence and develop strong working relationships throughout the hospital.
