About The Position

The Practice Associate IV – Specialty Coordination (Oncology) is an experienced professional with exceptional medical practice support skills. The role uses initiative in completing assignments independently and with minimal supervision. The Practice Associate IV – Specialty Coordinator primarily serves as the administrative support for assigned Oncology areas and care coordination/back office responsibilities including but not limited to complex scheduling/coordination, referrals, send-out testing tracking, inter-specialty scheduling, and intercampus scheduling/coordination. The Practice Associate IV – SC, supervises completion of coordinated care needs and addresses escalated issues and unfamiliar situations and mentors the Practice Associate II-III roles. Requirements

  • Associate degree is required. May be substituted by 2 years of relevant experience.
  • A minimum of 5 years’ relevant experience or a combination of certifications, coursework and experience.
  • Candidate must demonstrate strong customer service orientation and the ability to deliver consistent exceptional service while demonstrating tact, respect and sensitivity.
  • Candidate must be organized and be able to manage a demanding workload and moderately complex cases in an accurate and timely.
  • Ability to mentor teammates and demonstrate professional and compassionate manner while conveying a positive image of the practice.
  • Candidate must demonstrate excellent verbal and written communication skills.
  • Must be able to communicate to multiple stakeholder audiences.
  • Strong proficiency of Microsoft Office (Word & Excel) or similar software is required and an ability and willingness to learn new systems and programs.

Nice To Haves

  • Prior experience in an oncology outpatient practice is preferred.
  • Prior experience in EPIC/EHR is preferred.
  • Prior experience in Training is preferred.
  • Prior experience in a medical office setting is preferred.
  • Bilingual English/Spanish a plus, but not required.

Responsibilities

  • Greet patients and visitors.
  • Review the daily and weekly schedule frequently to ensure accuracy of the visit provider, appointment duration, patient insurance participation status with the visit provider, visit reason, and visit type.
  • Obtain all required registration and intake information from patients necessary for an efficient check-in and out process; verify and/or update any new insurance eligibility, benefits, or other information prior to the start of the patient appointment in the electronic health record (EHR); accurately indicate arrivals, cancellations, and no-shows in the EHR.
  • Schedule necessary follow-up appointments, infusion and laboratory appointments, imaging, referrals, and other related appointments/tests as requested by the provider.
  • Obtain prior authorizations and referrals for follow up care as needed by insurance plan.
  • Track that all follow-up items have been scheduled as directed and communicate updates to Oncology team.
  • Liaison between relevant clinical teams and the patient for send-out testing, and tracking status of send-out orders.
  • Manage inventory of kits, ensuring stock is well-maintained, stored in compliant manner, and non-expired.
  • Serve as liaison with other locations, departments and specialties to ensure care coordination needs are completed, including but not limited to other oncology locations, Radiology, Pathology, etc.
  • Collect all time-of-service and past due payments prior to the start of the appointment.
  • Settle cash drawer in the EHR on a daily basis.
  • Ensures compliance with cash handling protocols.
  • Provides guidance to other Associates regarding compliance.
  • Educate patients on benefits on using patient portal and assist patient to sign up for patient portal.
  • Provide general and oncology specific administrative support to physicians and manager, as assigned.
  • Serves as a first point of escalation for complex oncology cases, scheduling issues, and patient care coordination needs.
  • Serve as Team Lead and/or Preceptor.
  • Supervise tasks and determine resolution and/or escalate as appropriate.
  • Serves as a point person for specific group of providers and other oncology teams and provides cross coverage as operational needs dictate.
  • Assists Supervisor/Manager with special projects as needed.
  • Uses data and system reports to identify trends, troubleshoot and resolve issues.
  • May supervise specific tasks as determined by Manager/Supervisor.
  • Provides educational sessions to train new staff in front-end process in an efficient and effective manner to insure that front-end processes, functions and goals are understood and met.
  • Tracks compliance, education and training requirements of the unit.
  • Performs other related duties as assigned.
