About The Position

ENSO Plastic Surgery, an AQUA Dermatology portfolio practice, is Florida’s largest and most comprehensive full-service skin care provider in the Southeast, offering medical, surgical, and cosmetic dermatology, plastic surgery, vein care and radiation oncology. The Practice Administrator is responsible for the day-to-day clinical and business operations of the office-based surgery center. The Practice Administrator is responsible for ensuring that best practices are identified, implemented, monitored and adapted in all business areas.

Requirements

  • Bachelor’s degree from a four-year college or university plus 5-10 years of relevant experience and/or training; or equivalent combination of education and experience.
  • OR
  • Master’s degree or equivalent plus 3-5 years of relevant experience and/or training; or equivalent combination of education and experience.
  • Must be bilingual in Spanish.

Responsibilities

  • Facility management oversight to ensure a safe and enjoyable environment for all patients, visitors, healthcare providers and staff
  • Patient scheduling oversight to ensure patient and staff time are respected and used effectively
  • Super user for practice systems
  • Ensure ongoing compliance with all regulatory requirements
  • Uphold and enforce compliance with HIPAA Privacy and Security requirements
  • Create opportunity and accountability for strategic planning to ensure business growth opportunities are pursued appropriately
  • Attend relevant conferences as appropriate
  • Directly handles complex problems ranging from public relations to safety concerns. Ensures that staff and providers are providing quality care based on patient feedback from surveys and internal quality control measures. Maintain quality assurance with all clinical guidelines through monthly review and communication of areas of risk/opportunity at the quarterly risk management meeting.
  • Maintains knowledge of the informal and formal Company goals, standards, policies, and procedures, which may include some familiarity of other institutions or practices; is sensitive to the interrelationship of both people and functions within the Company. Ensures staff are adhering to Company policy.
  • Monthly inventory reconciliation and escalation of material discrepancies.
  • Timeliness, integrity and monthly reporting on each area relevant to patient intake, billing processes, timely complete of accurate and complete charts, collections and necessary adjustments
  • Daily financial reconciliation and cash management
  • In collaboration with AQUA Dermatology leadership, negotiation to reduce costs while maintaining or improving service and quality
  • Payroll and labor management
  • In collaboration with AQUA Derm HR, recruitment, on-boarding, staff development, counseling, coaching and annual reviews
  • Coordinate credentialing with AQUA credentialing department
  • Maintain employment records and ensure accurate job descriptions are on file for relevant staff roles
  • Annual policy and Procedure manual maintenance to support OBS registration requirements
  • Establish and maintain staffing communication cadence through standing meetings
  • Coordinate marketing efforts with AQUA Dermatology and any relevant contracted third-party marketing agencies to support operational and growth goals
  • Plan, coordinate, and manage events for non-surgical services
  • Community, Corporate and Professional outreach
  • Manage internal and cross-departmental marketing
  • Quarterly review of Cosmetic Consult and Conversion effectiveness using both Provider and Coordinator specifics
  • Perform other duties and special projects on an as needed basis, as assigned
