About The Position

We are seeking an experienced Practice Administrator to support a senior attorney. This position is responsible for providing high-level administrative, operational, and practice support, while assisting with client-facing activities, project coordination, and workflow management. This role requires a strong understanding of the attorney’s practice, the ability to manage multiple priorities in a fast-paced environment, and the exercise of sound judgment and discretion. The Practice Administrator will serve as a key resource in supporting client deliverables, managing day-to-day operations, and identifying opportunities to improve efficiency and processes.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience
  • Minimum of 7 years of experience providing high-level administrative, executive, or legal support in a law firm or corporate legal environment
  • Experience supporting senior-level professionals with client-facing responsibilities
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills
  • Demonstrated ability to exercise discretion and handle confidential information
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
  • Experience with legal billing systems, e-billing platforms, and matter management processes
  • Comfort with legal AI technology (i.e. Harvey, Co-Counsel, Legora) and the ability to learn and utilize new tools to support efficiency and workflow management

Nice To Haves

  • Paralegal certificate or equivalent legal training
  • Experience in labor and employment law or related practice areas
  • Familiarity with client relationship management systems and legal research tools
  • Experience supporting process improvements or operational initiatives

Responsibilities

  • Assists with the preparation of client materials, including presentations, reports, and other work product, utilizing available technology and research tools (i.e. Harvey and Microsoft Copilot) to support quality and efficiency
  • Supports ongoing efforts to improve processes, workflows, and client service delivery by identifying opportunities for increased efficiency and consistency
  • Assists in coordinating complex client projects, including developing timelines, tracking deliverables, and monitoring progress to ensure deadlines are met
  • Proactively identifies potential issues and works to resolve them independently or escalates as appropriate
  • Communicates with clients in a professional manner, responding to inquiries and supporting relationship management efforts
  • Provides support during attorney travel, including monitoring communications, assisting with prioritization of matters, and ensuring continuity of workflow
  • Maintains a high level of confidentiality and discretion when handling sensitive client and firm information
  • Manages billing functions in accordance with firm procedures, including time entry, prebill review and revision, coordination of e-billing submissions, and resolution of billing issues
  • Assists with accounts receivable follow-up and coordination with finance to address outstanding balances
  • Coordinates expense submission and tracking to ensure timely and accurate processing
  • Manages the matter opening process, including conflict check submission, preparation of opening documentation, and follow-up on required approvals
  • Supports ongoing matter administration, including rate approvals, e-billing setup, and retainer processing
  • Assists with billing appeals and follow-up on invoice reductions as needed
  • Maintains accurate contact and client information within firm systems
  • Monitors and assists with retainer balances and follow-up communications
  • Provides support on additional projects and assignments as needed
