About The Position

Finning Canada is seeking a highly organized and customer-focused Rental Project Coordinator to join their team in Edmonton, Alberta. This is a permanent, full-time, Monday–Friday, in-office position responsible for managing rental projects from initiation through completion while ensuring exceptional customer service, operational excellence, and contract compliance. Reporting to the Rental Operations Manager, the Rental Project Coordinator acts as the primary point of contact for assigned rental projects, overseeing equipment management, project administration, invoicing, maintenance coordination, safety compliance, and customer communication.

Requirements

  • Post-secondary education in a related field or an equivalent combination of education and experience.
  • Minimum 2 years of experience in a Rentals or Service environment.
  • 1–3 years of administrative or project coordination experience.
  • Strong organizational, communication, and customer service skills.
  • Experience managing multiple priorities in a fast-paced environment.
  • Strong attention to detail with experience in reporting, invoicing, and documentation management.

Responsibilities

  • Manage rental project contract compliance throughout the project lifecycle.
  • Serve as the primary project lead, coordinating all aspects of assigned rental projects.
  • Build and maintain strong working relationships with customers and internal stakeholders.
  • Monitor project profitability, job costing, budgets, and financial performance.
  • Manage risk assessments, scope changes, warranty considerations, and cost recoverability.
  • Coordinate equipment deliveries, installations, commissioning, maintenance, and demobilization.
  • Source equipment to meet customer requirements and project specifications.
  • Schedule and facilitate project kick-off, progress, and close-out meetings.
  • Prepare and distribute accurate project reports to customers and internal stakeholders.
  • Review and approve service provider and subcontractor invoices for recovery or absorption.
  • Manage customer billing inquiries, invoice discrepancies, and dispute resolution.
  • Maintain document control for drawings, specifications, SOPs, and project documentation.
  • Oversee fleet utilization, equipment tracking, audits, and inventory management.
  • Ensure rental project data is accurately maintained within ERP and operational systems.
  • Recover project-related costs including freight, fuel, servicing, maintenance, and demobilization charges.
  • Monitor project health through regular invoicing reviews, service coordination, and customer check-ins.
  • Coordinate preventative maintenance schedules with fleet and service teams.
  • Ensure all customer-requested changes to project scope are documented and recovered appropriately.
  • Support accounts payable processes and third-party vendor coordination.
  • Act as the primary point of contact for customer inquiries related to service, warranty, and rental operations.
  • Provide timely updates regarding equipment availability, repairs, maintenance activities, and project status.
  • Communicate estimated completion dates and project milestones to all stakeholders.
  • Recommend additional services, repairs, or solutions based on customer needs.
  • Escalate and coordinate technical troubleshooting activities as required.
  • Ensure customer interactions align with service standards and operational procedures.
  • Manage service work orders and project files in accordance with operational procedures.
  • Establish job scope and gather all technical documentation required for project execution.
  • Review machine history, warranty eligibility, technical information, and product support programs.
  • Obtain and manage customer purchase orders.
  • Assist in determining warranty and goodwill considerations where applicable.
  • Maintain accurate project and service records for auditing and reporting purposes.
  • Promote and support a strong safety culture.
  • Ensure compliance with all safety policies, procedures, site requirements, and permitting protocols.
  • Identify hazards and take appropriate corrective actions.
  • Support Job Hazard Assessments (JHAs) and safe work practices across all project activities.
