About The Position

The School of Medicine (SoM) Integrated Resources, Post-Award unit has an outstanding opportunity for a Post-Award Grants Specialist. Under the supervision of the Post-Award Grants Manager Lead, the Post-Award Grants Specialist (Grants Specialist) is responsible for completing post-award duties for a designated portfolio of Principal Investigators (PIs) within the SoM. The Grants Specialist works to ensure successful financial reporting of grants, contracts, and sub-awards, in addition to administrative management of all research activities for their assigned portfolio of PIs. This position works closely with sponsor agencies, central UW offices, faculty, and departmental staff to ensure both that the department is compliant with all sponsors, UW, federal, state, and industry policies and that grant administrative deliverables are being accomplished. This position requires a high degree of personal initiative, strong communication and organizational skills, high work standards, and an active interest in providing excellent customer service. Position is typically 3 or more days/week work from home (2 in office), but fully remote positions may be considered.

Requirements

  • Bachelor’s degree in any field.
  • Two or more years of administrative or financial experience.
  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
  • Excellent written and spoken communication skills.
  • Ability to work collaboratively and independently with a high degree of reliability, accuracy, and productivity.

Responsibilities

  • Manage a defined portfolio of primarily standard‑complexity awards under the direction of the Grants Manager Lead.
  • Ensure compliance with the University of Washington (UW) and sponsor fiscal policies, following established procedures and escalating questions as needed.
  • Prepare and initiate actions with central university offices related to the establishment and continuation of grants, contracts, and research sub‑awards.
  • Monitor the execution of grant, contract, and sub‑award agreements to support timely processing and communication with internal and external administrative offices.
  • Implement, monitor, and manage award budgets in accordance with sponsor and UW requirements.
  • Assist with administrative activities related to research sub‑awards, primarily with domestic academic institutions.
  • Facilitate sub‑award setup within UW systems to support timely invoicing and ensure adequate documentation for subrecipient monitoring.
  • Communicate and coordinate with UW central staff (GCA, OSP, PAFC) regarding post‑award actions, seeking guidance from leadership when issues arise.
  • Support the preparation and completion of grant and contract closeouts.
  • Work with Principal Investigators to prepare and submit sponsor-required progress reports, final reports, and other post‑award deliverables.
  • Provide accurate financial information for sponsor and internal reporting needs.
  • Track reporting deadlines and communicate requirements to PIs to ensure on-time submissions.
  • Prepare and distribute regular financial reports for PIs to review monthly transactions, payroll charges, and spending activity.
  • Meet with PIs to discuss project status, spending plans, and financial projections.
  • Support the timely and accurate completion of faculty effort certification and project statement requirements.
  • Review and approve grant-related expenditures and purchases in Workday while verifying funding availability and compliance with policies.
  • Set up and maintain costing allocations for PIs and support staff in alignment with award requirements.
  • Process expense and salary transfers in compliance with UW policies and documentation standards.
  • Provide PIs with guidance on standard operating procedures and grant compliance expectations, escalating questions and coordinating responses when necessary.
  • Participate in required meetings and trainings, including MRAM, school‑wide sessions, and departmental research administration meetings.
  • Contribute improvements in training materials, tools, and internal post‑award processes within the Integrated Resources team.
