About The Position

Cascade Management, Inc. is seeking a Portfolio Manager Admin Assistant to provide day-to-day administrative support to the Sr. Portfolio Manager. This role requires excellent verbal and written communication skills, resilience, strong initiative, a professional demeanor, and leadership abilities. The position is based in the corporate office and requires regular attendance. The role involves customer engagement, relationship building, time management, organization, attention to detail, adaptability, team support, and communication. Knowledge of affordable housing programs and landlord-tenant laws is also important. The position may involve travel up to 50% of the time.

Requirements

  • High school diploma or general education degree (GED) with three years working as an Administrative Assistant or one year of administrative assistant experience/or training; or equivalent combination of education and experience.
  • Ability to operate basic office equipment such as telephones, keyboards, 10 key, photocopier, and fax machine.
  • Must be outcome-oriented and consistently meet deadlines assigned.
  • Must have excellent time management skills.
  • Must have the ability to work in a fast paced environment with strong attention to detail and juggle multiple responsibilities with superb accuracy.
  • Must have strong administrative skills.
  • Must have a strong sense of urgency and problem solving skills.
  • Must have excellent organizational skills.
  • Must be highly skilled in Microsoft Suite.
  • High degree of professionalism and exceptional customer service skills, over the phone and in person, with our customers and internal departments required.
  • Able to communicate and collaborate across multiple departments and teams.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of an organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs.
  • Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Regular attendance is required.
  • Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move 20 pounds.

Nice To Haves

  • Experience in Property Management a plus.
  • Bilingual English/Spanish preferred, not required.

Responsibilities

  • Provide day-to-day administrative support to the Sr. Portfolio Manager.
  • Establish trust and rapport with prospective residents through professional communication.
  • Provide customer service to current and former tenants, applicants, and the public.
  • Promote harmonious relations among tenants, employees, owners, and the local community.
  • Consistently meet deadlines and manage time effectively.
  • Work in a fast-paced environment with strong attention to detail and juggle multiple responsibilities with superb accuracy.
  • Manage and monitor numerous projects at one time in various work stages.
  • Provide administrative support in completing required reports for multiple agencies, owners, and support teams.
  • Assist in gathering relevant information from site staff and preparing for meetings, presentations, and reports.
  • Demonstrate flexibility in managing competing priorities and support team objectives.
  • Communicate details about follow-up tasks to site staff and internal business partners in a timely and professional manner.
  • Ensure successful daily flow of correspondence.
  • Manage high-volume inbound and outbound communications, ensuring timely responses, clear documentation, and appropriate follow-up.
  • Communicate and collaborate across multiple departments and teams.
  • Analyze data, prepare and format information, and use available resources for effective resolution.
  • Prepare internal and/or external documents, including writing letters and memos, compiling data for reports, creating presentations, transcribing, and taking meeting notes.
  • Follow Oregon and Washington Landlord Tenant and Fair Housing laws.
  • Perform other duties as assigned by supervisor.
