About The Position

We have an opening for the position of Police Records Technician in our Police Department. Under general supervision performs a variety of specialized clerical duties to prepare, maintain and release materials relating to law enforcement activities, and to perform related work as required.

Requirements

Graduation from high school or equivalent.
One year (full-time equivalent) of responsible clerical experience.
Operate computer keyboards with speed and accuracy.
Type or keyboard at a rate of 45 net words per minute.
Pass a detailed background investigation.
Demonstrate an awareness and appreciation of the cultural diversity of the community.
Understand the criminal justice system.
Ability to read, write and speak English.
Proof of eligibility to work in the United States within the first three days of employment.
Proof of a valid California Driver's License of the appropriate class level on their first day of employment (for positions requiring a driver's license).

Nice To Haves

Experience in a law enforcement environment is desirable.
Possession of, or ability to obtain, an appropriate, valid driver's license.

Responsibilities

Operates a keyboard, computer and telephone to produce reports, correspondence, schedules, notices and statistical data.
Checks and tabulates statistical and financial data.
Completes state-required reports; provides copies of reports to other law enforcement and criminal justice agencies, court personnel, attorneys, employees, and department supervisors.
Processes payments of fees for crime and traffic reports and parking tickets and prepares receipts.
Processes, maintains, sorts, photocopies, routes records and files of citations, field interviews, warrants, arrests, crime cases, traffic reports and related police records according to departmental guidelines and meets set deadlines.
Reviews documents for errors or omissions and refers to appropriate issuing officers for corrections.
Serves as the department liaison to the District Attorney’s Office regarding officers’ court appearances; verifying proof of service documents and relaying messages.
Enters subpoena information into the court database for all court subpoenas and retrieves police documents in support of officers’ court appearances and issued subpoenas.
Assembles court packages for filings with the District Attorney within established procedures and deadlines.
Composes a variety of correspondence and prepares written public record documents requiring independent judgment as to content with accuracy and completeness, while being mindful of current written laws.
Provides court required information to the City Attorney and District Attorney including videos, photos, transcripts of 911 calls, and criminal background checks.
Greets visitors and general public when working at the front counter at the Police Department; assists and provides information to visitors, law enforcement officers, and outside agencies .
Answers inquiries from the public, outside agencies, officers, and courts or refers to proper department or official.
Releases information to the public, government agencies, and other businesses in accordance with legal guidelines.
Determines proper authority of requestors for record release, and releases criminal record information to law enforcement and other approved government agencies.
Uses computer terminals to access county, state, and federal law enforcement files when researching data regarding citations and arrests and responding to officer inquiries.
Files cases, citations and related documents.
Takes Livescan fingerprints according to state and department regulations.
Seals records as ordered by the Courts.
Creates, receives and distributes detention letters
Purges files and destroys certain records as mandated by the Penal Code and the city retention policy
Prepares bank deposits for payments collected.
Assists the public in person or on the telephone regarding police matters; researches, resolves, and responds to Police customer problems and complaints; explains Police Department policies and procedures to the public.
Receives phones calls and enters vehicle impound/ repossessions into county databases.
Processes background checks and creates letters of reference; completes and processes ride-along applications and appointments by searching databases.
Enters data into the dedicated law enforcement computer databases and generates a variety of law enforcement management system reports regarding stolen/repossessed/impounded/stored/towed vehicles, stolen /lost property, wanted/missing persons, stolen/registration of guns, evidence and pawn slips.
Accesses, inputs, modifies and retrieves data from State and National law enforcement computer systems for criminal histories, warrants, stolen vehicles, Department of Motor Vehicle records and other police related information; Releases restricted access information to law enforcement personnel, other public or private agencies and the public in accordance with departmental policy, State and Federal laws and Department of Justice guidelines.
Confirms Department of Justice records on stolen vehicles, missing persons and stolen guns as required.
Monitors and distributes online reports submitted by members of the public to the appropriate unit/employee.
Retrieves and make copies of accident, crime and arrest reports; respond to requests for copies of police reports in accordance with established Police Department, Federal, and State policies and procedures for processing and dissemination.
Ensures confidentiality of information is maintained according to applicable laws, rules, regulations, and administrative orders.
Monitors and maintains adequate quantities of supplies and forms; revises and stocks information sheets.
Orders, receives and distributes supplies.
Receives and processes incoming mail and returned mail.
Accepts service of subpoenas and other court related documents.
Builds and maintains positive working relationships with co-workers, other City employees, and the public using principles of good customer service.
Performs related work as required.
