About The Position

Under direction of the Police Records Supervisor, the purpose of this position is to perform clerical and technical duties related to the processing, maintenance, and retention of police records; engage in public contact both in person and by telephone; and quality control of reports in the Records Management System. This position operates in a fast-paced environment involving multiple duties that may change daily. This position requires a high level of integrity, sound judgment, quick decision-making, and ability to multi-task.

Requirements

  • High school diploma or GED; supplemented by one (1) year previous experience and/or training involving record keeping/clerical duties.
  • Requires typing skill of 40 wpm.
  • Ability to work with all Microsoft software, including Access, Word, Outlook, and Excel.
  • TCIC/NCIC, TLETS full-access certification, Criminal Justice Security Awareness Certification and certification as a notary public, or ability to obtain all 3 upon hire.
  • Must pass a drug screen and background check.
  • Must have Class C Texas Driver’s License

Responsibilities

  • Reviews citations, offenses, arrests, accidents, and supplements to ensure IBR standards are met and reports are complete and accurate.
  • Provides quality control by performing audits of each incident report.
  • Reviews police reports and case attachments for Child Protective Services (CPS) reports and flags for review.
  • Assists in processing expunction orders, juvenile sealing orders, and orders of non-disclosure.
  • Assists citizens with various requests for records including initial direction of Open Records Requests in accordance with Texas Public Information Act.
  • Processes interagency requests for reports and data, including requests from the District Attorney’s Office, Child Protective Services, Probation and Parole, and other police agencies.
  • Maintains awareness of basic FBI UCR guidelines; Assists in ensuring accuracy of incident coding in preparation for completion of NIBRS process by the designated specialist and submission to DPS by Police Records Supervisor or NIBRS Specialist.
  • Assists Patrol Division, Criminal Investigative Division, and other police personnel with requests for information.
  • Performs local background checks for the public, military, and other police agencies.
  • Processes and files Criminal Trespass Warnings.
  • Processes accident reports submitted to TXDOT.
  • Processes registration and updates for sex offenders.
  • Processes impound auctions for local tow companies.
  • Performs monthly validations for NCIC/TCIC.
  • Coordinates alarm registration process, accepts permit fees, creates and updates alarm permit accounts.
  • Processes multiple methods of payments and prepares daily cash receipts and deposits with accurate cash handling techniques.
  • Assists Property Division with transfer of cash in accordance with appropriate procedures for any seized, unclaimed, and found monies.
  • Receives and processes juvenile arrest reports and paperwork.
  • Gathers data from files to aid in compiling a variety of reports; makes and distributes copies of reports.
  • Receives and processes taxi/limo applications for permits, and solicitor permits.
  • Maintains and files current records, publications and manuals as prescribed; inventories and schedules departmental records for retention or destruction.
  • Drives to other City locations for meetings, etc. as required.
  • Complies with all written City policies and procedures.
  • Adheres to assigned work schedule as outlined in City and department attendance policies and procedures.
  • Perform other duties as assigned or directed.
