About The Position

This position is responsible for the management and oversight of the Police Department’s records function and administrative support to ensure efficient operations and effective delivery of services to the public. The position is responsible for planning, organizing, directing, and supervising the activities of the Police Records Unit and its employees.

Requirements

  • Experience in Basic principles and practices of budget development, administration, and accountability.
  • Experience in Records management and quality assurance.
  • Experience in Customer service and conflict resolution.
  • Experience in Data analysis and report preparation.
  • Experience in Utilizing records management systems and computer applications.
  • Experience in Assist in developing and implementing goals, objectives, practices, policies, procedures, and work standards.
  • Manage, direct, coordinate, supervise, train, plan, organize, schedule, assign, review, and evaluate the work of staff.
  • Organize, implement, and direct records management and property and evidence programs, activities, and projects.
  • Interpret, apply, explain, and ensure compliance with applicable Federal, State, and local policies, procedures, laws, and regulations.
  • Identify problems, research and analyze relevant information, and develop and present recommendations and justification for solution.
  • Research, analyze, and evaluate new service delivery methods, procedures, and techniques.
  • Understand the organization and operation of the City and of outside agencies as necessary to assume the assigned responsibilities.
  • Associate’s Degree in Law Enforcement/Criminal Justice, Paralegal/Legal Studies, Business Administration, Public Administration, Office Management, or related field or any equivalent combination of education, experience, and training which provides the required knowledge, skills, and abilities.
  • Minimum of four (4) years of progressively responsible administrative, office coordination, or municipal support experience, including two (2) years of experience in a supervisory or lead role.
  • Must successfully pass an extensive background investigation.
  • Possession of a valid driver's license.
  • Proficiency in Google Workspace applications.

Nice To Haves

  • Bachelor’s degree in Criminal Justice, Public Administration, Records Management, Business Administration, or related field.
  • Previous experience in a law enforcement, court, legal, public safety, or government records environment.
  • Experience using a law enforcement Records Management System (RMS).
  • Experience with public records requests, records retention, NIBRS, or other state and federal crime reporting requirements.

Responsibilities

  • Supervise, assign, review, and evaluate the work of Records Unit staff.
  • Coordinate and oversee the processing, maintenance, retention, storage, and disposition of police records and documents.
  • Ensure compliance with applicable laws, regulations, policies, and Criminal Justice Information Services (CJIS) requirements.
  • Monitor report quality and accuracy, ensuring timely entry, retrieval, and dissemination of information.
  • Develop, implement, and update records management procedures and operating guidelines.
  • Respond to complex public records requests and ensure compliance with public disclosure requirements.
  • Coordinate records retention schedules and destruction processes in accordance with legal requirements.
  • Conduct staff training and provide coaching, counseling, performance management, and professional development opportunities.
  • Prepare reports, statistics, and performance measures related to Records Unit operations.
  • Assist with budget preparation, resource planning, and technology implementation projects.
  • Resolve customer service issues involving citizens, employees, attorneys, courts, and other agencies.
  • Serve as liaison with prosecutors, courts, law enforcement agencies, and other governmental organizations.
  • Participate in special projects and process improvement initiatives.
  • Other related duties as assigned.
