About The Position

Performs a variety of complex clerical duties and analyses to ensure the proper documentation and reporting of criminal activity, and to expedite the administrative processes of criminal justice. This role involves managing official documents, data entry, filing, assisting the public, and ensuring compliance with legal standards for information dissemination.

Requirements

  • High school diploma or GED
  • Must type at least 50 WPM
  • For Police Records Clerk I: One (1) year of responsible clerical experience.
  • For Police Records Clerk II: Three (3) years of responsible Police Records experience.

Responsibilities

  • Receives, scans, and uploads documents related to criminal activity, traffic violations, and accidents into a computer database.
  • Prioritizes paperwork for data entry and retrieves audio files and documents.
  • Enters information into computer databases.
  • Files, maintains, retrieves, and ensures the security of official documents.
  • Disseminates police reports and documents to various government entities and forwards information to other departments.
  • Assists customers in person and by telephone, directing them to appropriate departments or agencies.
  • Processes records requests and releases information, police reports, and documentation in accordance with policy and law.
  • Operates a cash register, receives payments, and reconciles receipts.
  • Prepares correspondence and handles inter/intra-office mail.
  • Translates information from crime reports according to state and federal standards and submits results.
  • Enters and retrieves data from state and federal computer systems in accordance with laws.
  • Works independently and in groups to complete special tasks and projects.
  • Trains employees on the use of internal and external computer systems.
  • Gathers and provides statistical data to employees and the public.
  • Performs other related duties as required.
