About The Position

The Police Administrative Assistant is a non-sworn employee of the Police Department. The objectives of the position are to provide routine and complex administrative, clerical, and various other assigned services to the Police Department.

Requirements

  • Associate’s degree, or equivalent of training and experience in office field.
  • Must be certified in the Criminal Justice Information System (CJIS) or have the ability to obtain certification within 6 months.
  • Previous keyboarding experience, typing skills of approximately 60 wpm.
  • Ability to read and understand correspondence, memoranda and other written materials.
  • Skill in proper grammar, sentence structure, paragraphing, punctuation and spelling.
  • Ability to operate computers and police radios.
  • Ability to receive and process calls from the public.
  • Intermediate proficiency with Microsoft Office and other office programs.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to perform research, assemble information, and prepare reports and studies.
  • Ability to deal tactfully and effectively with all department personnel, outside agencies and the general public.
  • Ability to work effectively under pressure and to multi-task.
  • Must have commitment to the organization, willingness to take initiative, dependability, maturity in relationships with others, and positive attitude.
  • Speak, read, write and understand English.
  • Hearing normal or corrected to normal.
  • Eyesight 20/40 or corrected to 20/40.
  • May entail distance vision, color vision, peripheral vision, and depth perception.
  • Stand, walk, bend, stoop, squat, crouch, kneel, balance or reach as required.
  • Sit for 8 hours, with only periodic activity.
  • Employee must occasionally lift and/or move up to 30 pounds.

Nice To Haves

  • Experience in a similar position in a law enforcement environment is preferred.
  • Training as a legal secretary, paralegal, or similar field, and knowledge of data practices and release of information.

Responsibilities

  • Prepare and organize reports as required by the prosecuting attorneys for charging and court related activities, or other law enforcement agencies.
  • Assist visitors and process incoming telephone calls and electronic communications.
  • Data entry and file maintenance, to include but not limited to NCIC, BCA, RMS, CHRMS.
  • Process data requests pursuant to the Minnesota Government Data Practices Act.
  • Process requests and prepare permits to purchase firearms; complete background checks as assigned, perform fingerprinting for the public and comparison prints for sworn officers.
  • Order, maintain, and purchase police office supplies.
  • Provide customer service and office support in a professional and cooperative manner.
  • Process incoming mail.
  • Maintain confidentiality.
  • Perform other duties as assigned by the Police Chief, Police Captain, or Police Supervisor.
