The Excavation Coordinator provides administrative support to the Excavations Manager and team by performing a variety of administrative functions in an independent, organized and detailed oriented manner. Requirements

  • Ability to effectively communicate at all levels of the organization.
  • Ability to work professionally under pressure during high-volume work.
  • Ability to multitask and prioritize (or reprioritize) tasks on very short notice.
  • Excellent organizational and time management skills.
  • Excellent Customer Service skills.
  • Strong interpersonal skills.
  • Ability to maintain strict confidentiality.
  • High school or equivalent experience.
  • Minimum of three years’ office administration experience required.
  • Strong P.C. skills; Intermediate Proficiency level of Excel.

Nice To Haves

  • Residential home services experience preferred

Responsibilities

  • Issue permits for upcoming excavations.
  • Process excavation folders; reconcile and process all related paperwork.
  • Triage customer service issues; follow up with customer on any concerns.
  • Maintain various departmental spreadsheets (i.e. Miss Utility Data Report).
  • Complete and track required permits and Miss Utility requests for each job.
  • Assist with assignment of excavation crews for each job.
  • Ensure excavation crews have assignment, permits, job sheets to complete work
  • Contact appropriate jurisdictions to schedule inspections (work compliance).
  • Contact appropriate utilities if issues arise with marking or line breakage occurs.
  • Crew Scheduling in ServMan and maintain accurate crew availability.
  • Maintain updated scope of work for all jobs.
  • Assist with crew’s timekeeping.
  • Answer telephone and maintain filing system of all documents.
  • Receive appropriate documentation from estimators and job crews and scan into database.
  • Assist with other duties as assigned.
  • Function as back up for Sales Coordinator.
