Requirements

  • Reading, writing, and mathematical competency.
  • Minimum of two years’ experience as a receptionist or administrative assistant.
  • Excellent computer skills (MS Office). Proficiency with Excel, data tools, and Microsoft Office.
  • Effective communication via phone and email, ensuring accurate and timely completion of duties.
  • Strong multitasking, interpersonal, and organizational skills.
  • Rational and logical analysis skills, with the ability to withstand frequent interruptions to workflow.
  • Professional interaction with all levels of the organization.
  • Ability to work independently.
  • Repetitive use of keyboard and mouse to operate a computer for required tasks.
  • Experience in purchasing, planning, or supply chain; manufacturing experience preferred.
  • Knowledge of ERP and MRP systems.
  • Strong analytical and problem-solving skills.
  • Effective communication, negotiation, and supplier relationship skills.

Nice To Haves

  • CPSM certification is a plus.
  • Lean Six Sigma or APICS certification or experience is desired.

Responsibilities

  • Field telephone calls, faxes, and distribute mail for plant leadership and employees.
  • Greet and direct visitors to the appropriate party.
  • Perform data entry and manage confidential and time-sensitive documents.
  • Implement and optimize vendor managed inventory programs and plant purchasing needs.
  • Create, manage, and resolve purchase order issues, including invoice discrepancies, returns, quality or vendor receiving issues, and past due purchase orders.
  • Source and purchase materials, components, and services aligned with production requirements, budgets, and corporate purchasing requirements.
  • Negotiate pricing, terms, and delivery with suppliers.
  • Act as the point of contact for janitorial, uniform, and vending services, including supply ordering.
  • Generate purchase orders and track deliveries to support plant operations.
  • Manage the full purchase order lifecycle, including order changes, follow-up, and closure.
  • Expedite materials and services as needed to meet production and operational timelines.
  • Collaborate with supply chain and production teams to adjust forecasts and communicate variations to suppliers.
  • Identify and support cost savings opportunities across purchasing activities.
  • May order and store office supplies, people materials, and clothing, and support plant administrative needs including visitors, calls, and mail.
  • Assist Plant Manager and other departments as needed.
