As an Plant Administrative Assistant, you will support the Plant Manager along with their direct reports and supporting departments to drive an efficient manufacturing facility.

  • Possess a wide range of difficult to complex administrative and project management skills.
  • Experience working with expense reports for multiple individuals.
  • High School Diploma/GED equivalent required - or - a WorkKeys Score of 3 on Tests for Applied Math, Graphic Literacy, and Workplace Documents.
  • A minimum of 2-4 years administrative assistant or similar experience required.
  • Multi-line phone experience
  • Intermediate Microsoft Office skills – including Word, Excel PowerPoint, and Outlook

Nice To Haves

  • Associate degree or higher degree in Office Technology, Administration, or Business-related discipline
  • Microsoft Office Specialist Certification or comparable computer certification
  • Familiarity with manufacturing operations, especially in machining, fabrication, and assembly environments
  • Experience supporting Lean Manufacturing or Six Sigma initiatives
  • General knowledge of MRP & Oracle, & ETO Workflows

Responsibilities

  • Arrange meetings with internal and/or external customers including conference rooms, necessary equipment/material, catering, and invitation to others as required.
  • Tracks monthly budgets, processes invoices, and provides appropriate follow-up on payments.
  • Negotiate the purchase of office supplies and furniture, office equipment, etc., for the staff in accordance with company purchasing policies and budgetary restrictions.
  • Perform monthly P-Card reconciliation and expenses for department.
  • Provide support for A/P and P-Card transactions to address special needs and/or emergency situations for employees, as needed.
  • May gather and prepare data in preparation of upcoming plant reviews; identifies future needs to complete projects.
  • Acts as a conduit of communication internally to and from Plant Leadership.
  • Serves as a point of contact for internal and external stakeholders. Contacts are frequent within and outside the organization and involve obtaining or providing information on matters of critical importance to the organization and usually are of a sensitive/confidential nature.
  • Answers complex functional questions that typically require a combination of sound judgment and often additional research and follow-up.
  • Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner, providing guidance to peers as necessary regarding proprietary information.
  • Translates thoughts into documents (letters/memos/presentations, etc.) using existing material; ensures document is logical and complete as well as accurate in grammar and spelling; makes suggestions for improvements in existing communications.
  • Manage multiple calendars, plan meetings, route phone calls and mail, run miscellaneous errands, etc.
  • Oversee the following external services; printer/copiers, janitorial, food/vending, etc.
  • Greet and route visitors and groups and provide them with assistance as necessary.
  • Maintain kitchens, break rooms, conference rooms, petty cash, and company vehicles.
  • Provide support to finance and materials group as assigned including management of Tungsten invoices and end of month closing procedures.
  • Backup to HR when necessary, assistance with candidate travel booking.
