About The Position

The Planning Department Coordinator ensures that information generated by the Design group is complete, accurate, and properly processed for the Purchasing department and the shop floor. This role supports manufacturing and production by maintaining schedules, coordinating materials and documentation, and facilitating smooth communication between Design, Purchasing, Service, and production teams. The coordinator also assists with general administrative tasks and provides occasional front desk reception coverage.

Requirements

  • High school diploma.
  • Strong organization skills with the ability to manage multiple tasks and priorities in a fast-paced manufacturing environment.
  • Proficient computer skills, including accurate and efficient data entry.
  • Ability to write and process purchase order requisitions.
  • Experience with attaching and managing inspection sheets and job traveler sheets.
  • Understanding of manufacturing processes and production support.
  • Ability to generate and maintain production schedules and estimated delivery dates.
  • Strong attention to detail to ensure accuracy of information provided to Purchasing and the shop floor.
  • Effective communication skills to work with Design, Purchasing, Service, and production teams.
  • Customer service mindset when supporting internal departments.
  • Basic proficiency with Microsoft Office applications.
  • Ability to perform general administrative and reception duties when needed.

  • Experience with production scheduling and manufacturing routing maintenance.
  • Familiarity with purchasing administration and purchasing support activities.
  • Experience using Epicor for manufacturing and production planning.

Responsibilities

  • Process information provided by the Design group and verify its accuracy for use by the Purchasing department and the shop floor.
  • Distribute all prints and work orders to the shop floor in a timely and organized manner.
  • Distribute all prints and work orders to the production facility, including I JOBS and large make-to-order (MTO) projects.
  • Generate production schedules and provide accurate estimated delivery dates to internal stakeholders.
  • Maintain and update operations, resource groups, calendars, and routings for manufacturing and production within Epicor.
  • Provide the Purchasing department with complete and accurate information to acquire special materials that arrive in time to meet shipping dates.
  • Collaborate with the Service department and Design team to expedite service jobs through the shop floor that require manufacturing operations.
  • Generate pick lists for the crib to ensure materials are available for production.
  • Use CADlink to transfer bills of material into Epicor accurately and efficiently.
  • Perform data entry tasks, including writing purchase order requisitions and updating production-related records.
  • Attach inspection sheets and job traveler sheets to the appropriate work orders and documentation.
  • Support quality assurance efforts by ensuring documentation and data are accurate and complete.
  • Provide purchasing and manufacturing support through timely communication, documentation control, and coordination of information.
  • Deliver excellent customer service to internal departments by responding promptly to information requests and resolving issues related to planning and scheduling.
  • Perform front desk receptionist coverage when needed, including answering phones and greeting visitors.
  • Assist with other planning, administrative, and manufacturing support duties as assigned.
