Natural Elements Painting & Repair

About The Position

Natural Elements Painting & Repair is hiring a full-time, hourly Plan Estimator to support its commercial estimating and sales process. This remote role is suited to someone who is organized, detail-oriented, comfortable working with numbers and documents, and interested in learning construction estimating systems and processes. The Plan Estimator reviews project plans, prepares takeoffs and draft estimates, organizes bid information, assists with proposals, follows up on submitted estimates, and keeps sales and estimating systems current. The work is performed during Eastern Standard Time business hours, with guidance and review from management or a senior estimating team member as needed. The role begins with smaller, less complex projects, with work reviewed before the employee takes on more complex assignments. Estimates and proposals remain subject to required review. The successful candidate follows the project scope review process, tracks bid activity and deadlines, maintains well-organized project documentation, communicates professionally with clients and internal partners, and escalates unclear or sensitive issues before proposals are finalized. Natural Elements Painting & Repair is a U.S.-based commercial and residential painting, repair, and waterproofing company serving North Central Florida. The company values service, respect, learning, ownership, health, accountability, and continuous improvement. Compensation is $7.00 to $8.00 per hour, based on experience and performance. The position offers 80 hours of PTO (10 full days) and 7 paid U.S. holidays. Expanded hours may be available based on performance, workload, business needs, and company growth.

Requirements

  • Experience with estimating software and the ability to read and understand construction documents are required.
  • Demonstrated understanding of estimating fundamentals, including reviewing project documents, identifying scope, completing takeoffs, and documenting assumptions and exclusions.
  • Strong critical-thinking skills to compare plans, specifications, bid forms, and addenda; identify gaps or conflicts; and ask relevant questions rather than make unsupported assumptions.
  • Clear, concise, professional written and spoken English for communicating with general contractors, sales representatives, clients, and the internal team.
  • Confidence conducting professional follow-ups and representing NEPR accurately without making commitments or changing scope without approval.
  • Careful work habits, openness to feedback, and willingness to learn NEPR's estimating methods, product standards, software, and review process.
  • Ability to track follow-ups, bid activity, sales outcomes, and gross margin performance.
  • Willingness to comply with company cybersecurity, password, device, and IT security requirements.
  • Reliable internet service and an updated computer capable of supporting estimating software, online bid platforms, video meetings, and company communication systems.
  • Availability to work 8 a.m.–5 p.m. Eastern Standard Time business hours.
  • Ability to complete assigned work on schedule and keep bid deadlines, addenda, proposal status, follow-up dates, and next steps current.
  • Ability to communicate missing information, scope conflicts, and pricing or margin questions promptly.

Nice To Haves

  • Prior estimating, takeoff, painting, construction-document, or construction-product research experience is preferred.
  • Pipedrive, Google Workspace, or online bid platform experience is helpful but not required for the right candidate.
  • Experience with ZZ Estimate, Togal AI, ChatGPT, PaintScout, Google Drive, Google Sheets, Google Calendar, Slack, Connecteam, 1Password, BuildingConnected, Procore, or related platforms.

Responsibilities

  • Work under the direction of the Senior Plan Estimator and complete initial smaller, less complex projects for review.
  • Follow the work calendar for bid deadlines, takeoffs, proposals, follow-ups, training, and review meetings.
  • Promptly communicate questions, conflicts, or deadlines at risk.
  • Track assigned bids, deadlines, addenda, estimate status, and proposal follow-ups in NEPR's Estimate Tracking List.
  • Create and organize project folders for assigned bids.
  • Review plans, specifications, bid forms, and addenda; identify project scope before performing takeoffs and use the Scope Review Checklist for each project.
  • Prepare takeoffs and draft estimates, scope notes, exclusions, clarifications, alternates, and proposal information for review.
  • Revise estimates in response to internal feedback, client updates, addenda, pricing changes, or scope changes.
  • Maintain organized estimate files, plan documents, proposal versions, notes, bid correspondence, and supporting documentation.
  • Follow up on submitted commercial estimates and proposals.
  • Communicate professionally with prospects, clients, general contractors, property managers, builders, vendors, and internal team members.
  • Update Pipedrive and other required systems after client interactions and follow-up activity.
  • Escalate unclear, complex, high-value, or margin-sensitive items to management before proposals are finalized.
  • Participate in estimate reviews, pipeline reviews, sales meetings, and training as assigned.
  • Follow company documentation, communication, cybersecurity, password, device, and confidentiality procedures.
  • Accurately record all hours worked in the company's approved timekeeping system.
  • Research unfamiliar paint, coating, or sealant products using manufacturer specifications and technical data, contact product representatives when needed, and summarize findings for review.
