The Physician Scheduler is responsible for managing all scheduling functions, including general appointment scheduling, contacting consumers regarding appointments, and notifying them of changes. This role involves scheduling for specialty programs like CCBHC, Suboxone, and MAT-Specialty Court, as well as emergent appointments for Adult and Child Psych consumers. The scheduler will manage daily outreach to consumers due for follow-up appointments, those referred by nursing staff, and provide reminder calls for specific patient groups. They will also offer same-day appointments when available and ensure scheduling blocks are managed appropriately for new patients, follow-ups, emergent cases, and hospital discharges. The position requires ensuring all schedule changes are completed promptly after supervisory approval, managing scheduled maintenance work daily, and researching/entering mandatory holidays, meetings, and agency events. Additionally, the scheduler will research consumer demographic information for updated contact numbers, manually complete reminder calls when automated systems fail, and communicate scheduling changes to appropriate staff. They will resolve cancellations and no-shows by entering corresponding notes into the EHR. In terms of customer service, the scheduler must be familiar with CCBHC standards, maintain a welcoming and friendly approach, communicate agency information and policies, ensure HIPAA compliance, and possess knowledge of agency and community services. They are expected to report concerns regarding safety, customer service, consumer complaints, and policy noncompliance to their supervisor. For phone duties, excellent telephone etiquette, prompt handling of inquiries, and professional management of difficult consumer situations are essential. The role requires efficient use of the EHR system to answer consumer-related questions and troubleshoot problems. Protecting consumer rights through confidentiality is paramount. The scheduler should identify areas for system improvement and report them to their supervisor. EHR system responsibilities include the initial setup of charts for MAT-Specialty Court program participants, scheduling initial appointments, and using the EHR system to match consumer needs with provider availability. The scheduler will keep appointments on schedule, notify providers of appointments, maximize EHR system use for customer service, and participate in EHR training, promoting its use among staff and assisting with issues.
