About The Position

Capital Health is seeking a Physician Office Manager II for its Hematology Oncology Specialists practice in Pennington, NJ. This full-time, day shift position involves working directly with providers to optimize scheduling and resource allocation, manage office operations including inventory and expenditures, and supervise staff. The role requires a focus on patient satisfaction, operational efficiency, and adherence to regulatory standards. The manager will also be involved in the budgeting process, accounts payable, and interactions with insurance companies. This is a key role in ensuring the smooth and productive operation of the practice.

Requirements

  • Bachelor's degree in business or health-related field OR 5 years of management experience in lieu of a degree.
  • 2 years of Office Management experience required with a Bachelor's degree.
  • Excellent organizational, interpersonal, conflict resolution, and verbal and written communication skills.
  • Solid knowledge of and experience in billing and health insurance guidelines and practices, including commercial, CMS and managed care payers.
  • Solid knowledge of and ability to use electronic health records, scheduling, charging and billing systems.
  • Intermediate to advanced computer skills.
  • Proficient with Microsoft Word and Excel.
  • Ability to effectively manage multiple locations.
  • Ability to respond efficiently and effectively within the realm of several fast-paced environments.

Nice To Haves

  • Knowledge of insurance (ICD-9/10 coding, CMS regulations, state/federal regulations, CLIA, DOH, OSHA regulations) preferred.

Responsibilities

  • Implement provider scheduling to ensure maximum productivity.
  • Coordinate scheduling of resources including exam rooms and equipment.
  • Schedule staff to ensure adequate coverage, potentially requiring cross-coverage between locations.
  • Make recommendations to enhance practice growth and volume.
  • Approve all expenditures.
  • Manage office inventory of supplies and equipment.
  • Ensure supplies and setup for efficient nighttime services are carried out.
  • Interview and hire staff for various locations, adhering to salary budgets.
  • Appraise performance, reward, and discipline employees.
  • Address complaints and resolve problems.
  • Carry out supervisory responsibilities in accordance with organizational policies and laws.
  • Complete timely and accurate statistical reports (e.g., monthly referrals, provider hours, vacation, financial information).
  • Attend Capital Health meetings as assigned.
  • Coordinate practice management participation in provider meetings.
  • Conduct staff meetings on an ongoing basis with documented minutes.
  • Focus on patient satisfaction goals to increase volume.
  • Ensure performance reviews, in-service education, and employee compliance issues are addressed promptly.
  • Operate in a fiscally responsible manner to achieve operational efficiency and adhere to policies.
  • Ensure physicians and staff adhere to DNV-GL standards and coding requirements.
  • Interact with insurance and managed care companies and central billing office regarding billing and referral procedures.
  • Research feasibility of accepting new plans and complete applications with input from the billing manager.
  • Participate in the budgeting process and make recommendations for equipment needs.
  • Monitor budget compliance and take action to avoid variances.
  • Perform accounts payable activities for office expenditures.
