About The Position

We are seeking a detail‑oriented Pharmacy Assistant to join our specialty pharmacy operations team. In this entry‑level role, you will support day‑to‑day pharmacy, patient service, and shipping operations by ensuring accurate medication processing, timely shipments, and high‑quality customer support. This role is ideal for candidates looking to begin or grow a career in pharmacy operations, healthcare administration, or patient services. The schedule for this position is Monday to Friday, 9:00 a.m. to 5:00 p.m., with a rotating 10:00 a.m. to 6:00 p.m. shift once or twice per week.

Requirements

  • Secondary School Diploma / High School Diploma or equivalent.
  • 0–1 years of relevant experience, or an equivalent combination of education and experience.
  • Proficient in English, both written and verbal.

Nice To Haves

  • Previous experience in a retail, specialty, or hospital pharmacy environment.
  • Exposure to shipping/receiving, warehouse, or inventory operations.
  • Familiarity with pharmacy management systems (Kroll experience is an asset).
  • Working knowledge of third‑party prescription billing and reimbursement processes.
  • Strong organizational skills, attention to detail, and ability to multitask in a fast‑paced environment.
  • Comfort learning new software systems and following detailed procedures.

Responsibilities

  • Provide professional, patient‑focused customer service through phone and email interactions.
  • Create and maintain patient profiles and records using pharmacy software (e.g., Kroll).
  • Schedule and coordinate patient appointments, medication dispensing, and shipment timelines.
  • Accurately dispense, package, label, and prepare medications for shipment in accordance with SOPs.
  • Process prescription billing and ensure required documentation is complete and accurate.
  • Support third‑party billing by identifying issues and contacting adjudicators or plan administrators as needed.
  • Conduct patient follow‑ups related to refills, shipment scheduling, or outstanding accounts.
  • Ensure all medical or clinical questions are referred promptly to a licensed Pharmacist.
  • Perform shipping and receiving activities, including printing waybills, checking orders, and coordinating courier pickups.
  • Assist with inventory receiving, organization, reconciliation, and discrepancy reporting.
  • Track shipments and communicate with couriers and internal teams regarding delivery issues.
  • Maintain a clean, organized, and compliant shipping and receiving workspace.
  • Adhere to all company SOPs, privacy standards, and regulatory requirements.
  • Support additional operational or administrative tasks as assigned by the Pharmacist or Supervisor.
