About The Position

We are seeking a detail-oriented and organized Contract Fulfillment Assistant to support the execution of purchasing and sales contracts from initiation through completion. This role plays a critical part in ensuring transactions are accurate, compliant, and processes efficiently. The ideal candidate thrives in a structured environment, communicates clearly, and can manage multiple tasks while maintaining a high level of accuracy.

  • Proficiency with Google Workspace (Drive, Sheets, Docs)
  • Consistent weekly availability within agreed-upon schedule

  • Ability to attend scheduled meetings (in-person when required)
  • Timely response to task assignments and communications

Nice To Haves

  • Experience with CRM systems (Salesforce preferred)

Responsibilities

  • Prepare and send contracts using internal systems (e.g., Salesforce, Conga, Google Drive)
  • Review contracts for accuracy, including pricing, unit details, and terms
  • Ensure all transactions are supported by executed agreements and proper documentation
  • Maintain organized digital files for all deals
  • Follow established purchasing and fulfillment processes
  • Ensure all deals meet internal audit and documentation standards
  • Assist in verifying vendor payment instructions and required documentation
  • Support the progression of deals from purchase through completion
  • Coordinate with internal teams including sales, finance, and purchasing
  • Track deal status and provide updates as needed
  • Communicate with vendors and internal team members to collect required information
  • Help manage timelines and ensure expectations are clearly communicated
  • Escalate delays or missing information proactively
  • Maintain accurate records in CRM systems
  • Assist with reporting and internal tracking tools
  • Support process improvements and operational efficiency
  • Other tasks may be assigned to assist in the contract fulfillment processes
