About The Position

The Personnel Specialist is a highly responsible civilian position responsible for the maintenance and integrity of Agency personnel information both paper and computerized personnel records for current employees and archived records. This position will also maintain personnel files and will conduct public records requests for all employees.

Requirements

  • High School Diploma or equivalent
  • Valid Florida Driver’s License
  • Highly computer literate
  • Advanced knowledge of Microsoft Word and Excel
  • Comprehensive knowledge and understanding of Equal Employment Opportunity Commission (EEOC), Fair Labor Standards Act, Department of Labor Regulations, and Uniformed Services Employment and Reemployment Rights Act
  • Maintain confidentiality/security of files and information obtained in the course of employment
  • Process/compile/disseminate record/public record information as directed by approving authority in accordance with lawful requirements
  • Maintain continuity and operational efficiency by accurate and timely dissemination of information to Staff and co-workers
  • Adhere to leave, overtime and attendance policies/procedures (i.e. arrive promptly, regular attendance at work, notification to supervisor regarding absence from work due to illness or untimely incidents, etc.)
  • Normal business hours apply; however, hours are subject to vary and overtime may be necessary including nights, holidays, and weekends

Responsibilities

  • Establish and maintain both paper and computerized personnel records
  • Generate and update employee lists
  • Manage employee evaluations
  • Assist with posting, maintaining, and setting up interviews for open positions and team memberships
  • Process and disseminate public record information upon request
  • File and retrieve documentation, reports, and files as needed
  • Utilize computers/applicable software/office equipment/printers/scanners
  • Issue written/oral communications to improve efficiency
  • Maintain and update all applicant/personnel database system(s)
  • Develop and maintain COC communication
  • Assist with coordinating promotional ceremonies
  • Maintain confidential files
  • Perform administrative/clerical functions
  • Ensure agency mission/vision/values are maintained
  • Receive and respond to correspondence
  • Assist with maintenance and updates for all personnel database system(s)
  • Maintain credibility of team/membership/committee information
  • Process public records requests
  • Process transfers within the agency
  • Data entry, create, process correspondence, schedules, appointments, etc.
  • Assist Human Resource Employment and Human Resource Personnel staff as necessary
  • Other duties as assigned
