About The Position

This position performs work in support of specific human resources functions that requires a good working knowledge of personnel procedures. The Personnel Assistant, III must be tactful, discrete, articulate and have the ability to exercise independent judgment. The Personnel Assistant, III reports directly to the Deputy Program Manager (DPM) and will need to consult with the DPM where departures from standard practices are involved.

Requirements

  • Requires a minimum of two (2) years of clerical experience in Human Resources and Payroll.
  • Proficient with PC applications and Microsoft Office, including data entry, compilation, and report creation.

Nice To Haves

  • Familiarity with UKG and iCIMS strongly preferred but not required

Responsibilities

  • Coordinate and manage all onboarding activities for new hires, ensuring a seamless transition into the organization.
  • Request and track IT equipment, system access, and specialized permissions; provide instructions for proper use.
  • Conduct comprehensive benefits reviews, including 401(k) enrollment, medical, dental, vision, and other available plans.
  • Facilitate UKG/UltiPro training sessions and provide ongoing support for MyTime and timecard compliance.
  • Review and brief new hires on all site security requirements and ensure completion of mandatory security forms.
  • Provide detailed review of company policies and required compliance materials.
  • Monitor new-hire documentation for accuracy and follow through until all materials are submitted to the correct departments.
  • Request and track PIV card issuance and ensure employees complete all identity verification requirements.
  • Coordinate across multiple departments and functional areas to ensure readiness for each new hire’s start date and workstation setup.
  • Administer initial and Random Drug Testing
  • Process terminations and confirm separation actions across all applicable systems.
  • Request and manage the property listing for outgoing employees; tracks return of all company assets.
  • Ensure all termination forms are accurately, timely submitted, and routed to the proper individuals.
  • Coordinate with IT, security, and facilities to terminate accesses, disable accounts, and close out employee files.
  • Review and process TDY Temporary Pay; TDY Temporary Overtime Pay, labor code corrections, and labor hour adjustments.
  • Validate entries for adder pay additions/deletions and ensure compliance with customer and company requirements.
  • Process danger pay and military differential pay; ensure all documentation supports the pay action.
  • Process safety shoe reimbursements
  • Work closely with payroll to resolve discrepancies and maintain accuracy of employee labor records.
  • Assist employees throughout the Leave of Absence and Short-Term Disability process, providing policy-based guidance.
  • Initiate formal LOA documentation and track status through the duration of the leave.
  • Coordinate with HR, payroll, and management to ensure continuity of communication and documentation compliance.
  • Provide clear instruction and coordination for completing HR forms, payroll documents, benefits paperwork, and other personnel items.
  • Respond to a high volume of employee inquiries regarding payroll, HR policies, labor charges, benefits, and other personnel-related questions.
  • Maintain exceptional customer service while supporting employees across multiple departments.
  • Request, track, and manage overtime approval submissions for all departments.
  • Review and verify weekly overtime reports; compile approvals and submit required documentation to the customer.
  • Maintain detailed overtime logs to ensure compliance with company and customer requirements.
  • Prepare training memorandums and route for leadership approval; ensure follow-up communication with requesters.
  • Support internal training schedules, track completion, and maintain training compliance records.
  • Assist with planning and coordinating employee briefings, policy reviews, and HR informational sessions.
  • Create and manage requisitions in iCIMS to support recruiting efforts across the organization.
  • Submit Facility Access Requests and track approval progress for employees, contractors, and visitors.
  • Maintain and audit HR functional files and records, ensuring accuracy, organization, and compliance with retention guidelines.
  • Regularly review files for completion and initiate follow-ups where required.
  • Maintain strict confidentiality of all personnel, payroll, benefits, and security information.
  • Perform additional duties assigned to support department operations and mission requirements.
