About The Position

This is a hybrid position blending both personal and executive support. You’ll handle a variety of administrative, scheduling, and coordination duties that ensure both founders can operate smoothly and focus on strategic priorities. The ideal candidate is highly dependable, tech-savvy, and thrives on anticipating needs before being asked. You’ll work closely with both William and Alexis, alternating between remote administrative work and occasional in-person errands or logistics support around Miami.

Requirements

  • 2–3+ years in an Executive Assistant, Personal Assistant, or Operations Coordinator role.
  • Experience supporting entrepreneurs, executives, or high-performing individuals.
  • Strong command of English.
  • Advanced proficiency in Google Workspace (Calendar, Sheets, Docs, Drive).
  • Excellent time management and problem-solving skills.
  • Comfortable balancing both business and personal tasks.

Nice To Haves

  • Spanish is a plus.

Responsibilities

  • Manage complex calendars, appointments, and daily schedules.
  • Monitor and organize inboxes; draft and send correspondence as needed.
  • Prepare meeting reminders, reports, and follow-ups.
  • Coordinate travel, accommodation, and itineraries (domestic & international).
  • Track expenses, receipts, and reimbursements.
  • Book personal appointments (grooming, fitness, wellness, etc.).
  • Coordinate with household vendors and service providers (cleaners, maintenance, deliveries).
  • Assist with errands, groceries, and online shopping.
  • Manage personal and family calendars to ensure seamless scheduling.
  • Support with light project management tasks, follow-ups, and reporting.
  • Maintain documentation and ensure clarity across all ongoing initiatives.
  • Act as liaison between founders and business partners, contractors, or vendors.
