About The Position

The Permit Technician is responsible for maintaining the permitting system and process for the Planning and Building Department. This is accomplished by providing responsible administrative support to the daily operations of the department as well as Code Enforcement related processes by providing service for the City’s permitting operation. The Permit Technician coordinates and processes residential and commercial building permit applications; provides timely service to all customers; assists in resolving applicant disputes; assists in scheduling building inspections; performs a wide variety of clerical and support duties: main operator for calls to the development and building department, types, files, distributes a variety of documents; responds to requests for information from management/supervisory personnel, or general public.

Requirements

  • Graduation from an accredited High School or equivalent
  • Two (2) years of work experience in administrative support required
  • Knowledge of standard office practices, procedures, and administrative functions
  • Knowledge of general building practices and permitting processes
  • Strong interpersonal and customer service skills
  • Proficiency in operating office equipment, including copiers and multi-line phone systems
  • Proficiency in computer use for data entry, word processing, and basic record management
  • Experience handling cash and processing payments accurately, including issuing receipts and maintaining payment records
  • Ability to organize work effectively, manage multiple tasks, and maintain accuracy
  • Ability to communicate clearly and professionally, both verbally and in writing
  • Successful completion of a criminal background check

Nice To Haves

  • Bachelor’s degree in urban planning or public administration preferred and may substitute for the required experience
  • Construction/ Building experience preferred
  • Must obtain Permit Technician ICC Certification within 24 months of hire

Responsibilities

  • Manages MyPermitNow software permitting system to coordinate the initial stages of residential and commercial permits/projects between the Building Department through implementation of best practices for permitting and case management.
  • Accepts, reviews, and inputs all applications and permits for sufficiency in accordance with The City of Buda Unified Development Code and related documents and manuals.
  • Reads various maps, graphs, and charts for the purpose of obtaining general information.
  • Answers general inquiries from the public about the City of Buda Development Review process and other related department programs in a manner that enhances the customer experience.
  • Diplomatically handles complaints and enforces rules and regulations concerning proper permit submission requirements.
  • Provides information on permits, inspections, licenses, and department policies, programs, and procedures, through the phone, in-person, via email, and over the internet.
  • Accurately maintains customer information and accounts and performs updates to records.
  • Accepts applications and processes payments for fees and services into Incode and MyPermitNow associated with plan reviews, inspections, water & wastewater tap and impact fees, and water meters.
  • Creates water, wastewater, and solid waste utility accounts.
  • Runs queries in MyPermitNow for internal processing.
  • Performs a wide variety of general administrative support tasks and duties, including data entry, file management, copying and answering the telephone.
  • First stop for the development department and all development services.
  • Responds to initial questions regarding permit readiness, project fees, inspections, coordination, and passes any issues that may arise to the Development Coordinator.
  • Reviews residential and commercial building applications and plans in order to ensure compliance with requirements.
  • Prepares and proofreads a variety of documents, including general correspondence and reports; enters a variety of data and information into various computer programs.
  • Operates a variety of office equipment, including answering multi-line telephones, computers, copy machines, and facsimile machines; inputs and retrieves data and text.
  • Receives, sorts, and distributes incoming and outgoing correspondence.
  • Provides information on departmental and city policies and procedures as required; transfers inquiries to the appropriate individual or department as necessary; receives and resolves or passes on citizen complaints to the supervisor.
  • Maintains files in a timely and complete manner, ensuring that all documentation is filed appropriately and is accessible as required.
  • Provide assistance to the reception/community liaison desk.
  • Coordinate with the City Clerk on document retention and destruction.
  • Performs research and reproduction tasks related to Open Records Requests as assigned by the Development Coordinator.
  • Primary point of contact for all Temporary Construction Noise permitting.
