About The Position

Under minimal supervision, the Permit Technician serves as the primary administrative and customer service support for the Fire Prevention Division. The position supports the permit process for construction activities within District boundaries and provides administrative assistance in accordance with established policies, procedures, and guidelines. This role functions as the primary point of contact for the Fire Prevention Division at the administrative offices located at Fire Station 380.

Requirements

  • Must be 18 years of age or older.
  • High School Diploma or GED equivalent.
  • A minimum of two (2) years full-time work experience in a clerical or administrative support position in a customer service environment.
  • Proficiency in permitting software system within six (6) months of employment.
  • Proficiency in reading and interpreting construction plans and related permit documentation within one (1) year of employment.
  • Must have and maintain a valid Arizona driver’s license with acceptable driving record.
  • Obtain Permit Technician certification by a nationally recognized organization within one (1) year of employment.
  • Applicants requesting Veteran’s Preference must submit required supporting documentation at the time of application.
  • DD Form 214 or DD Form 215 (showing discharge status and dates of service), and/or VA or DoD disability letter (if claiming preference as a disabled veteran or service-connected disability), and/or Other official documentation that confirms eligibility for Veterans’ Preference under Arizona law.

Nice To Haves

  • Current Permit Technician certification by a nationally recognized organization.
  • Public sector experience, preferably in a municipal building or fire prevention department.
  • Experience in construction, plan review support, permitting processes, or related development activities.

Responsibilities

  • Serves as the initial customer service representative for all individuals contacting or visiting the Fire Prevention Division offices.
  • Supports internal and external customers with a high degree of accuracy, efficiency, confidentiality, attention to detail, and sound judgment.
  • Screens permit applications, construction documents, and related submittents for completeness and compliance with local fire and state related codes, laws, ordinances, statutes, and construction standards.
  • Accepts, maintains, and tracks submittals for construction permits, operational permits, and other miscellaneous submittal types.
  • Routes plans and documents to appropriate departments for review, updates tracking systems, prints and processes documents, manages plan corrections, and notifies applicants of review status.
  • Manages permit fees by creating invoices in accordance with the established fee schedule, submits invoices for payment, collects fees, and communicates fee status with inspectors.
  • Creates, organizes, and maintains accurate permit and administrative files in manual and automated records systems.
  • Responds to inquiries regarding plan submittals, fees, and requirements, or directs the need of the customer to appropriate personnel.
  • Assists with public records requests by conducting research and document preparation.
  • Provides general administrative support.
  • Schedules appointments, meetings, and makes business related reservations as needed.
  • Performs other duties as assigned.
