About The Position

The People Operations Specialist plays a critical role in delivering a seamless and positive employee experience across the organization. This position is responsible for executing key employee lifecycle processes including onboarding, offboarding, HRIS updates, compliance documentation, and day-to-day employee support. Working closely with Talent Acquisition, Payroll, IT, and campus teams, the Specialist ensures that systems remain accurate, processes are compliant, and employees and managers receive timely, professional support. The ideal candidate is highly detail-oriented, customer-focused, and thrives in a fast-paced, compliance-driven environment.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Minimum of two (2) years of HR, onboarding, or people operations experience preferred.
  • Familiarity with I-9 and E-Verify compliance requirements.
  • Experience with HRIS systems (ADP Workforce Now or similar), Smartsheets, and Microsoft Office applications.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • Excellent verbal and written communication skills with a customer service mindset.
  • Demonstrated ability to handle confidential information with integrity and discretion.

Responsibilities

  • Coordinate the onboarding process from offer acceptance through the employee’s first day, ensuring a smooth transition.
  • Partner with hiring managers and IT to provision system access, credentials, and equipment for new hires.
  • Manage internal transfers and employee changes within HRIS systems.
  • Process terminations, verify documentation, and coordinate access removal and equipment return.
  • Collect and validate I-9 documentation, complete E-Verify requirements, and ensure federal compliance deadlines are met.
  • Maintain accurate employee data in HRIS, Smartsheets, and related systems.
  • Enroll employees in required compliance training and monitor completion.
  • Provide Payroll with timely updates related to hires, terminations, and employee changes.
  • Respond to general employee inquiries and route requests to appropriate departments as needed.
  • Collaborate across HR, Talent Acquisition, Payroll, IT, and campus teams to improve processes and reduce errors.
